About the Role
We are looking for a highly analytical and detail-oriented Reconciliation & Settlement Manager to take ownership of the reconciliation and settlement processes across our payment and financial operations.
The role will be responsible for ensuring that transactions are accurately reconciled, funds are settled correctly and on time, discrepancies are identified and resolved promptly, and financial movements across multiple accounts, currencies, payment channels and partners are properly controlled.
The role will have particular responsibility for supporting cross-border payment flows, including monitoring settlement across different markets, currencies, banking/payment partners and transaction channels.
This is a critical role within the business, sitting at the intersection of Finance, Payments, Operations, Treasury, Risk and Compliance.
Responsibilities
Reconciliation Management
- Own the end-to-end reconciliation process across all relevant transaction and payment channels.
- Perform daily reconciliation of customer transactions against internal ledgers, bank accounts, wallets and payment/settlement partner records.
- Reconcile fiat and digital asset transactions where applicable.
- Ensure all transactions are accurately recorded, accounted for and appropriately classified.
- Identify reconciliation breaks, unmatched transactions, duplicate transactions, missing entries and other discrepancies.
- Investigate and resolve reconciliation exceptions within defined timelines.
- Maintain accurate reconciliation schedules and supporting documentation.
- Ensure outstanding reconciliation items are properly tracked through to resolution.
- Develop and maintain reconciliation controls to minimise financial leakage and operational errors.
Settlement Management
- Own and coordinate settlement processes across banking, payment and liquidity partners.
- Ensure settlements are completed accurately and within agreed timelines.
- Monitor settlement positions across currencies, accounts and payment channels.
- Coordinate settlement instructions and confirmations with relevant internal and external stakeholders.
- Monitor failed, delayed, rejected or incomplete settlements and ensure timely resolution.
- Maintain appropriate settlement records and evidence for audit and reporting purposes.
- Identify settlement risks and escalate material issues appropriately.
Cross-Border Payments
- Manage reconciliation and settlement processes associated with cross-border payment transactions.
- Monitor movement of funds across different currencies, jurisdictions, banking partners and payment channels.
- Reconcile inbound and outbound cross-border transactions across relevant accounts and systems.
- Track transaction status from initiation through processing, settlement and final reconciliation.
- Investigate discrepancies arising from FX conversion, fees, exchange-rate differences, intermediary charges, timing differences and settlement delays.
- Work with banking and payment partners to resolve cross-border settlement issues.
- Monitor foreign exchange and settlement costs and identify opportunities to improve efficiency.
- Maintain appropriate records for cross-border transactions and support required operational and regulatory reporting.
Partner & Banking Operations
- Manage operational relationships with banks, payment service providers, liquidity providers and other settlement partners.
- Monitor partner balances, settlement accounts and transaction positions.
- Validate partner statements and settlement reports against internal records.
- Investigate partner discrepancies and coordinate resolution.
- Monitor agreed SLAs and settlement performance.
- Support the onboarding and integration of new payment and settlement partners from a reconciliation and settlement perspective.
- Maintain a clear record of partner-specific settlement processes and requirements.
Exception Management
- Establish and maintain an effective exception management process.
- Monitor unresolved reconciliation and settlement exceptions.
- Categorise exceptions according to value, risk, age and root cause.
- Escalate high-value, unusual or prolonged exceptions.
- Conduct root-cause analysis of recurring reconciliation and settlement issues.
- Work with Product, Engineering, Operations, Finance and external partners to resolve systemic issues.
- Recommend process or system improvements to reduce recurring exceptions.
Treasury & Liquidity Coordination
- Monitor operational balances required to support settlement and payment obligations.
- Identify potential liquidity gaps or excess balances across accounts and currencies.
- Work closely with Treasury/Finance to ensure adequate funding for settlement activities.
- Support liquidity planning for cross-border payment corridors.
- Monitor currency exposures and settlement requirements.
- Provide timely information to Finance and management to support liquidity decisions.
Controls & Risk Management
- Develop and maintain strong reconciliation and settlement controls.
- Ensure appropriate segregation of duties across transaction processing, reconciliation and settlement activities.
- Monitor transactions and settlement processes for operational risks and potential financial losses.
- Work closely with Risk and Compliance on issues relating to transaction integrity, suspicious activity, fraud risks and regulatory requirements.
- Ensure appropriate approval and authorisation controls are followed.
- Support internal and external audits by providing reconciliation and settlement documentation.
- Maintain appropriate records and evidence for all material financial movements.
Requirements
Experience
- Bachelor's degree in Finance, Accounting, Economics, Business, or a related discipline.
- 6+ years' experience in reconciliation, settlement, payments operations, treasury operations, financial operations or a related field
- Experience managing high-volume financial transactions and reconciliation processes.
- Experience working with banks, payment service providers, fintechs or financial institutions.
- Experience with cross-border payments and multi-currency transactions is strongly preferred.
- Experience managing settlement processes across multiple banking/payment partners.
- Experience leading or supervising a finance operations/reconciliation team.
Technical Skills
- Strong understanding of financial reconciliation and settlement processes.
- Strong understanding of payment flows and transaction lifecycles.
- Knowledge of cross-border payment processes and FX settlement.
- Strong Excel/Google Sheets skills.
- Experience working with financial systems, payment platforms, ERPs or reconciliation tools.
- Experience with data analysis and reporting.
- Familiarity with SQL, BI tools or automated reconciliation systems is an advantage.
- Strong understanding of financial controls and operational risk.
