Soft Services Executive Job Description
Position Overview
The Soft Services Executive is responsible for managing and coordinating soft facility management services to ensure a clean, safe, and well-maintained environment. This role oversees various non-technical services including housekeeping, landscaping, pest control, waste management, and other amenity services that contribute to occupant comfort and facility aesthetics.
Key Responsibilities
Service Operations Management Oversee daily operations of soft services including cleaning, housekeeping, and janitorial services. Coordinate landscaping and grounds maintenance activities. Manage waste management and recycling programs. Supervise pest control services and preventive treatments. Ensure washroom hygiene and consumables are maintained at appropriate levels.
Vendor & Contract Management Liaise with third-party service providers and contractors. Monitor vendor performance against service level agreements (SLAs). Conduct regular inspections and quality audits of services delivered. Process invoices and ensure accurate billing from vendors. Negotiate contracts and manage renewals for soft services.
Quality Control & Compliance Conduct routine inspections to ensure cleaning and maintenance standards are met. Implement quality control checklists and inspection protocols. Ensure compliance with health, safety, and environmental regulations. Address non-compliance issues promptly and implement corrective actions. Maintain detailed records of inspections, incidents, and service delivery.
Team Supervision & Coordination Supervise housekeeping staff and service personnel. Prepare work schedules and duty rosters. Conduct training sessions on cleaning procedures and safety protocols. Monitor staff attendance, performance, and productivity. Address staff grievances and maintain positive working relationships.
Stakeholder Management Respond to occupant requests and complaints regarding soft services. Coordinate with facility managers and building occupants to address service needs. Conduct regular meetings with stakeholders to review service performance. Implement feedback mechanisms to continuously improve service delivery.
Inventory & Resource Management Maintain inventory of cleaning supplies, equipment, and consumables. Procure materials and equipment as needed within budget parameters. Ensure proper storage and handling of cleaning chemicals and materials. Track usage patterns and optimize resource allocation.
Required Qualifications
Education & Experience Bachelor's degree in Facility Management, Business Administration, Hospitality, or related field. 2-4 years of experience in soft services or facility management. Experience in commercial real estate, corporate facilities, or hospitality sectors preferred. Knowledge of integrated facility management practices is advantageous.
Technical Knowledge Understanding of housekeeping operations and cleaning methodologies. Familiarity with pest control procedures and preventive maintenance. Knowledge of waste management regulations and sustainability practices. Awareness of health and safety standards related to facility services. Proficiency with facility management software and reporting tools.
Soft Skills Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Problem-solving mindset with attention to detail. Ability to work under pressure and handle multiple priorities. Customer service orientation with professional demeanor. Leadership skills for supervising and motivating teams.
Additional Requirements Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). Ability to work flexible hours including occasional weekends or emergencies. Valid driver's license may be required depending on location. Physical ability to conduct site inspections and oversee field operations.
Performance Metrics
Success in this role is typically measured by service quality scores, occupant satisfaction ratings, vendor SLA compliance rates, cost management within budget, audit results, incident response times, and cleanliness standards achievement.
Work Environment
This position involves both office-based administrative work and regular site visits for inspections and coordination activities. The role requires mobility throughout facilities and occasional exposure to outdoor weather conditions during grounds inspections.
