Description
Isidore Newman School is searching for a highly organized, personable, and mission-aligned professional to join the Newman team as the Executive Assistant to the Head and Associate Head of School. For this 12-month position, the Executive Assistant interacts broadly and deeply with members of the entire school community including faculty, staff, students, parents and alumni. In addition to the outward facing aspect of this job, the Executive Assistant provides comprehensive administrative support and serves as an important point of contact for the Head and Associate Head of School.
The successful candidate will demonstrate exceptional interpersonal skills, organization, judgment, discretion, and attention to detail and will be able to manage multiple priorities in an energetic, child-centered, fast-paced school environment. The Executive Assistant will build and sustain strong, positive, and collaborative relationships throughout the Newman community. In this role, there are high expectations for professionalism, accountability, and responsiveness. Because this position supports school leaders with school-wide oversight, reliability, punctuality, confidentiality, and professional judgment are essential.
Essential Responsibilities
- Serve as a professional point of welcome and contact for Newman faculty, staff, students, parents, governors, alumni, vendors, visitors and other members of the Newman community.
- Develop and maintain strong, positive working relationships with members of the school community and represent the offices of the Head and Associate Head of School with professionalism, discretion, and respect.
- Manage and coordinate the calendars, appointments, meetings, schedules, and travel of the Head and Associate Head of School.
- Coordinate internal and external meetings, including scheduling, agendas, materials, room arrangements, technology, and other logistics.
- Prepare and edit correspondence, reports, presentations, meeting materials, and other documents.
- Receive and respond to correspondence and inquiries, directing matters appropriately when necessary.
- Track assignments, deadlines, follow-up items, and action items for senior administrators.
- Provide administrative and logistical support for meetings, school events, leadership activities, and special projects.
- Support the planning and administration of Board of Governors meetings and activities.
- Prepare and distribute Board of Governors meeting materials; record and prepare accurate minutes of Board of Governors meetings; maintain board portal.
- Maintain organized and accurate electronic and physical records.
- Handle confidential information, including personnel, student, family, financial, and governance matters, with the highest level of discretion.
- Coordinate travel arrangements and itineraries as needed.
- Reconcile monthly credit card statements for Head and Associate Head of School.
- Maintain an organized, professional, and efficient administrative office environment.
- Anticipate administrative needs, take initiative, and follow through on assignments with minimal supervision.
- Perform other duties as assigned by the Head of School or Associate Head of School.
Attendance and Work Schedule
Regular and dependable attendance and punctuality are essential for this 12-month position. The Executive Assistant must be available and responsive during scheduled work hours and must effectively manage the demands of supporting senior leadership.
The position will occasionally require work outside normal business hours, including evenings and weekends, particularly in connection with Board of Governors meetings, school events, special programs, and other School activities.
Qualifications
Required:
- High school diploma or equivalent.
- At least three years of progressively responsible administrative or executive assistant experience.
- Exceptional organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to interact professionally and effectively with individuals at all levels of an organization.
- Demonstrated reliability, professionalism, initiative, and follow-through.
Preferred:
- Experience supporting a senior executive, Head of School, CEO, or other senior administrator.
- Experience in an independent school, educational institution, nonprofit, or similarly complex organization.
- Experience supporting a governing board and preparing meeting minutes.
- Bachelor's degree.
