Description
The successful candidate brings experience supporting the Office of the CEO and Board of Directors activities, while operating with a high degree of independence, judgment, discretion, and accountability. They proactively anticipate needs, solve problems, build strong relationships across the organization, and create clarity amid competing priorities.
This individual thrives in environments that require agility, adaptability, and collaboration. They are equally comfortable coordinating complex executive and Board activities, improving processes, managing special projects, and supporting the day-to-day operations that help the organization run effectively.
Success in this role requires a proactive, team-first mindset and a commitment to delivering exceptional service to all employees, visitors, and external stakeholders.
Key Responsibilities
• Coordinate Board of Directors and committee activities, including meeting scheduling, preparation and distribution of materials, director communications, and governance-related processes.
• Anticipate business needs and identify potential issues before they become problems, proposing practical solutions and driving timely resolution.
• Partner closely with executives to support planning, meeting preparation, follow-up actions, and successful execution of key priorities.
• Coordinate executive leadership meetings, Board meetings, employee meetings, offsites, and other companywide events, where support is needed.
• Develop, prepare, and manage presentations, reports, correspondence, and other confidential business materials.
• Build effective relationships across functions and serve as a trusted point of coordination among executives, employees, Board members, and external stakeholders.
• Drive administrative excellence through continuous improvement of processes, tools, and ways of working that increase efficiency and effectiveness.
• Collaborate closely with fellow administrative professionals to create a seamless support model across the organization.
• Assist with travel, expense & purchasing management, meeting logistics, visitor support, and workplace activities as needed.
• Maintain the highest standards of confidentiality, professionalism, and business judgment.
Skills, Knowledge & Expertise
• Experience supporting Board of Directors activities, including meeting coordination, Board materials, executive communications, and governance-related processes.
• Demonstrated ability to independently manage multiple complex priorities while maintaining exceptional attention to detail and follow-through.
• Proven ability to anticipate needs, solve problems, and exercise sound judgment in situations requiring discretion and confidentiality.
• Excellent verbal and written communication skills with the ability to build trusted relationships across all levels of an organization.
• Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, Copilot and Teams.
• Demonstrated ability to navigate ambiguity, adapt quickly to changing priorities, and remain focused on outcomes.
