Job Description

The Documentation and Digital Tools Engineer owns the creation, management, and continuous improvement of technical documentation and digital tools used in commissioning, service, and field operations. The role applies in-depth knowledge of documentation systems and digital platforms to define and optimize processes, ensuring alignment with quality, EHS, and operational standards.


This position works closely with Engineering, EHS, Field Operations, Technical Support, Project teams, and external vendors, acting as a key technical resource for documentation strategy, digital tool adoption, and process improvement across the organization.

Essential Responsibilities

  • Own the end-to-end lifecycle of technical documentation for Commissioning and Service, including creation, review, revision control, and release management.
  • Lead the development and continuous improvement of digital checklists, forms, and documentation tools, defining standards and best practices.
  • Drive the digitalization of pro
    cedures, work instructions, RAMS, MFI, lifting plans, and field records, identifying opportunities and implementing solutions independently.
  • Evaluate and modify documentation workflows and processes to reduce manual work, increase efficiency, and ensure compliance with industry best practices.
  • Manage documentation systems and connected tools such as EDMS, TrueContext, ServiceMax, Smartsheet, and SharePoint, including configuration, troubleshooting, and user administration.
  • Analyze cases in ServiceMax, review Work Orders, identify root causes of documentation gaps, and propose corrective actions to prevent recurrence.
  • Provide technical documentation expertise to field operations, independently troubleshooting complex issues when Work Orders lack adequate documentation or procedures.
  • Act as the subject matter expert and primary point of contact for TrueContext and ServiceMax, leading user support, training, and system optimization.
  • Design, create, and maintain reports and dashboards to track document status, overdue items, backlog, and KPIs, providing data-driven recommendations to management.
  • Define and enforce documentation governance, standardization, and best practices across projects and teams, ensuring consistency and compliance.
  • Lead cross-functional collaboration to gather requirements, evaluate alternatives, and implement practical documentation and digital tool solutions.
  • Own the training program for digital documentation tools and processes, developing training materials and delivering sessions to ensure effective adoption.
  • Ensure documentation meets technical, customer, quality, and EHS requirements, proposing improvements based on lessons learned and industry trends.
  • Lead small-to-medium documentation and digitalization projects, coordinating timelines, resources, and deliverables.
  • Ability to work Monday-to-Friday, with occasional weekend and public holiday on-call duties as required.

Basic Qualifications

  • Bachelor's degree in Engineering, Software, Industrial, or equivalent technical experience.
  • Proven track record in technical documentation management, engineering support, commissioning, services, or digital process optimization.
  • In-depth knowledge of documentation tools such as EDMS, TrueContext / ProntoForms, ServiceMax, Smartsheet, and SharePoint, including configuration and administration.
  • Proficiency in 3D software such as NX, SolidWorks, and JT2GO is preferred.
  • In-depth understanding of document lifecycle management, revision control, and documentation governance processes.
  • Demonstrated experience leading workflow improvement initiatives, building reports and dashboards, and optimizing digital tools.
  • Strong technical writing, analytical thinking, and communication skills.
  • Proven ability to work across multiple teams, manage competing priorities, and coordinate project deliverables.
  • Advanced Microsoft Office skills, especially Word, Excel, PowerPoint, and Outlook.
  • English proficiency required; Spanish, French, and Portuguese are a plus.

  • This is a permanent term position based in our Barcelona, Spain office.
