EXECUTIVE ASSISTANT
Reports to: Managing Member and Operations Manager
Department: Executive Office

Role overview
We are seeking an experienced, organised and proactive Executive Assistant to provide comprehensive support to the Managing Members and Operations Manager.
This is a busy, hands-on role within a well-established engineering company, combining high-level executive support with a broad range of administrative, HR and operational responsibilities.
The role requires someone who is comfortable managing competing priorities, demonstrates sound judgement and maintains high standards of professionalism, organisation and confidentiality.
Key areas of responsibility
Executive support
- Manage executive diaries, schedules and priorities.
- Coordinate meetings, travel and business engagements.
- Prepare correspondence, quotations and meeting documentation.
- Manage confidential information and records.
Communication & coordination
- Act as the primary point of contact for the Managing Members’ office.
- Screen, prioritise and manage incoming communications and email correspondence.
- Liaise professionally with customers, suppliers and internal stakeholders.
- Coordinate internal communications and information flow.
- Maintain organised filing and document management systems.
Meetings, events & travel
- Prepare agendas, record minutes and monitor follow-up actions.
- Arrange business travel and accommodation.
- Assist with training, company events and industry exhibitions.
HR & business administration
- Support recruitment and employee administration.
- Maintain HR records, attendance records and assist with compliance administration.
- Provide administrative support across multiple departments.
- Assist with operational and financial administration.
Operational & facilities support
- Coordinate company vehicle servicing, maintenance and repairs.
- Coordinate building maintenance and repairs across company premises.
- Assist with site, Health & Safety and related administration.
- Monitor PPE requirements and maintain effective tool control.
General responsibilities
- Maintain professionalism, confidentiality and attention to detail.
- Identify opportunities to improve administrative processes and efficiency.
- Perform additional duties as required to support business operations.
Qualifications & experience
Essential
- Minimum five years’ experience in an Executive Assistant, Personal Assistant or similar senior administrative role.
- Experience supporting senior executives or directors.
- Excellent written and verbal communication skills.
- Advanced Microsoft Office proficiency.
- Excellent organisational and time management skills.
- Valid driver’s licence and own reliable transport.
Advantageous
