In this role, you will be responsible for keeping projects moving smoothly from kickoff to delivery, ensuring team bandwidth is balanced, and identifying workflow bottlenecks early. You will also help evaluate our day-to-day traffic processes and contribute to implementing modern, efficient ways to manage agency capacity and output.

 

What You'll Do

• Resource & Schedule Coordination: Drive daily and weekly allocation of Strategy, Creative, and Account resources. Balance team capacity, prevent over-allocation, and dynamically adjust schedules as project priorities shift.
• Daily Operations & WIP Tracking: Track active projects, maintain up-to-date Work-in-Progress (WIP) records, and keep teams aligned on deadlines and project milestones.
• Productivity Reporting & Dashboards: Compile clear weekly, monthly, and quarterly reports tracking team output against available hours. Maintain clean, actionable dashboards for leadership review.
• Bottleneck & Risk Identification: Flag scope creep, task overlaps, and inaccurate time estimates early. Escalate capacity constraints and work alongside team leads to resolve operational friction.
• Process Standardization & Efficiency: Support the optimization of existing workflows, maintain clear SOPs and templates, and adopt modern project management or AI tools to streamline routine tracking.

 

Who You Are

• Experience: 3+ years of experience in traffic management, creative operations, or project coordination within an advertising, creative, or digital agency environment.
• Education: Bachelor’s degree in Business Operations, Media/Marketing, Business Administration, HR, or a related field.
• Skills & Tools: Proficient in MS Excel or Google Sheets for status tracking, bandwidth planning, and data reporting.
• Project Management Tools: Hands-on experience using agency management software tools
• Process & AI Efficiency: Familiarity with leveraging modern productivity or AI tools to simplify administrative tasks, reporting, and tracking.
• Direct Communication: Clear, effective communicator comfortable interfacing across cross-functional teams and different seniority levels.
• Operational Precision: Strong attention to detail, highly organized, with a practical problem-solving mindset.
• Ownership & Initiative: Proactive approach to managing daily workflows and identifying practical process improvements.
