International Export Shipping Coordinator

Manhattan Beach, CA | Full-time | $28-29hr

We are seeking a detail-oriented International Export Shipping Coordinator to manage export order processing, coordinate international shipments, and provide exceptional customer support throughout the order fulfillment process. This role serves as the primary point of contact for customers while ensuring export orders are processed accurately, documentation is compliant, and shipments are delivered on time.

The ideal candidate has experience in international logistics, export documentation, customer service, and order management within a fast-paced environment.

Key Responsibilities

  • Process and manage international orders from receipt through final delivery.
  • Serve as the primary point of contact for customers, providing shipment updates, resolving inquiries, and ensuring an outstanding customer experience.
  • Coordinate high-volume export shipments with freight forwarders, carriers, warehouses, factories, and overseas partners.
  • Prepare, review, and validate export documentation, including commercial invoices, packing lists, certificates of origin, bills of lading, and other required shipping documents.
  • Ensure compliance with export regulations, customer requirements, Incoterms, and international shipping procedures.
  • Monitor shipment status, proactively communicate delays, and resolve transportation or documentation issues.
  • Prepare customer invoices and verify billing accuracy, ensuring freight charges, duties, and service fees are correctly applied.
  • Review vendor invoices, freight charges, and shipping costs for accuracy, resolving discrepancies with carriers, freight forwarders, and internal departments.
  • Collaborate with the Finance and Accounting teams to support billing, payment processing, credit requests, and account reconciliations.
  • Assist with pricing discrepancies, customer account inquiries, and invoice corrections in a timely manner.
  • Prepare documentation related to letters of credit, documentary collections, wire transfers, and other international payment transactions as needed.
  • Maintain accurate customer, shipment, billing, and order records within internal systems.
  • Generate operational and billing reports while identifying opportunities to improve order processing efficiency and customer satisfaction.

Qualifications

  • Minimum 2 years of experience in export operations, international customer service, order processing, billing, and logistics.
  • Strong understanding of export documentation, shipping procedures, Incoterms, and invoicing.
  • Experience coordinating shipments with freight forwarders, carriers, and overseas partners.
  • Excellent customer service, communication, and relationship-building skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple customer accounts, priorities, and deadlines in a fast-paced environment.
  • Proactive problem solver with the ability to resolve shipment and order issues efficiently.
  • Self-motivated, dependable, and able to work independently while collaborating effectively with cross-functional teams.

Education & Technical Skills

  • Bachelor's degree preferred but not required.
  • Proficient in Microsoft Office, including Word, Excel, and Outlook.
  • Experience with ERP, order management, shipping, or inventory systems preferred.
  • Experience working with international freight forwarding or export compliance software is a plus.
