Stevenson School is a PK-12 co-educational, college-preparatory, boarding and day school with enrollment of 750 students on two campuses in beautiful Central Coast California. The Upper Division campus (Grades 9-12) is located in Pebble Beach. The Lower/Middle Campus (Grades PK-8) is in nearby Carmel-by-the-Sea. Stevenson is a mission driven school that aims to help students shape joyful lives while instilling a passion for learning and achievement to prepare them for success in school and beyond.
Stevenson School is seeking a Data Operations Manager. This position reports to our Director of Data Operations and will oversee the technical platforms, workflows, and data structures that power clear, accurate, and timely communications across the school community. Operating within the Office of the Chief Information Officer, this role serves as the primary technical operator for Slate, Stevenson’s internal information system, translating communication needs into dynamic digital workflows, managing audience segmentation, and building repeatable systems for recurring and event-based communications. This position is remote, with occasional travel to the School’s Pebble Beach and Carmel campuses (3 to 4 visits per year).
Responsibilities
Slate Platform & Workflow Operations
- Design, build, test, schedule, and distribute mass communications, dynamic forms, and event portals in Slate.
- Develop recipient lists, queries, and audience segments using student, parent, and household data.
- Standardize recurring communication workflows and email templates to ensure operational sustainability.
- Document processes and establish standardized practices to make communications repeatable year-over-year.
- Partner with the Data Operations team to maintain data quality and enforce institutional business rules.
Cross-Departmental & Event Communications
- Partner with academic division heads, Admissions, Advancement, College Counseling, Athletics, and Student Life to coordinate communication schedules and reduce message overlap.
- Develop and maintain a centralized annual communications calendar.
- Oversee technical production and distribution for major publications, including weekly and monthly e-newsletters.
- Manage technical logistics for major school events (e.g., Back-to-School Night, Family Weekend, Graduation), including invitations, registration tracking, and automated reminders.
Marketing & Communications Collaboration
- Serve as the technical execution partner to Marketing & Communications (MarCom), turning approved content into responsive email layouts and digital interfaces.
- Ensure Slate-based portals, emails, and forms reflect visual standards, brand identity, and accessibility guidelines.
- Manage technical setup, audience targeting, quality testing, and distribution while MarCom maintains editorial ownership.
Data Integrity & Process Optimization
- Analyze communication engagement metrics to evaluate delivery effectiveness and recommend system improvements.
- Identify opportunities to streamline complex processes, eliminate administrative bottlenecks, and optimize data usage.
- Maintain strict standards surrounding student and family data privacy.
Required Qualifications
- Exceptional organizational, project management, and multi-stakeholder coordination skills.
- High attention to detail regarding scheduling, dates, recipient lists, and sensitive student/family data.
- Strong written communication, editing, and proofreading abilities.
- Uncompromising discretion when handling confidential record systems.
- Demonstrated ability to work independently in a remote environment while maintaining strong collaborative ties.
- Background in independent schools, higher education, nonprofits, or complex data operations environments is highly valuable.
Technical Qualifications
- Enterprise CRM/SIS Expertise: Hands-on experience with Slate by Technolutions (queries, communications, forms, portals, and automated workflows) or comparable systems.
- Web & Layout Technologies: Proficiency with HTML and CSS for building responsive email templates and web interfaces.
- Dynamic Scripting: Experience using Liquid markup or similar templating languages for personalized content delivery.
- Database & Querying: Solid understanding of relational databases, SQL concepts, conditional logic, and audience segmentation.
- Quality Assurance: Skill in testing and troubleshooting communications across various devices, operating systems, and email clients.
The salary range for this position is $70,000 to $80,0000, commensurate with experience. In addition to competitive salary Stevenson offers a substantial benefits package including retirement plan contributions, a choice of Anthem medical plans with premium coverage provided by the School, vision and dental group plans and support of ongoing professional development.
