The Scheduler provides administrative scheduling support to assigned Field Wholesaler and Internal Wholesaler teams by helping secure, confirm, maintain, and update advisor appointments and wholesaler calendars. This role is focused on proactive outreach, accurate calendar management, responsive communication, and disciplined follow-through so sales teams can spend more time deepening advisor relationships and driving business priorities.
This position is located at our Omaha corporate office with 4 days in the office and 1 work from home day per week.
This is a non-licensed administrative role. The Scheduler is not expected to hold FINRA securities licenses, complete product training required for Sales Associates, make product recommendations, or deliver sales presentations. Success in the role requires strong organization, professionalism, attention to detail, comfort making outbound calls, and the ability to create a positive first impression with financial professionals and internal partners.
How you'll help move us forward:
- Calendar and workflow management
- Keeps calendars current, flags conflicts early, follows through on changes, and maintains clear visibility into scheduled, pending, and follow-up appointments.
- Communication and professionalism
- Uses a clear, warm, concise communication style with advisors, assistants, Field Wholesalers, Internal Wholesalers, and internal partners.
- Accuracy and documentation
- Captures the right details in the right systems, including appointment status, contact information, next steps, and relevant notes.
- Prioritization and ownership
- Works from a daily plan, understands regional priorities, and takes accountability for consistent outreach and follow-through.
- Problem solving
- Resolves routine scheduling conflicts, adapts to calendar changes, and knows when to escalate issues that need team or manager input.
- Confidentiality and compliance mindset
- Understands that the role supports a regulated industry and handles information carefully, consistently, and professionally.
The experience you bring:
- High school diploma or equivalent required; college degree or equivalent professional experience preferred.
- Prior experience in scheduling, administrative support, customer service, sales support, call center, appointment setting, or a service-oriented role preferred.
- Strong verbal and written communication skills, including comfort making outbound phone calls and sending concise, professional emails.
- Strong organizational skills with the ability to manage multiple calendars, competing priorities, schedule changes, follow-up items, and detailed records.
- High attention to detail and accuracy when entering appointment details, advisor information, calendar updates, and activity notes.
- Professional phone presence and ability to build rapport with financial advisors, assistants, and internal partners.
- Ability to follow defined processes, scripts, compliance expectations, and escalation paths while exercising sound judgment in day-to-day scheduling decisions.
- Proficiency with Microsoft Outlook, Word, Excel, Teams, and the ability to learn Salesforce and other business tools.
- Ability to maintain confidentiality and handle advisor, client, employee, and business information appropriately.
What makes you stand out:
- Experience using Salesforce, CRM tools, scheduling platforms, shared calendars, or other workflow tracking systems.
- Experience supporting a sales organization, financial services team, wholesaling team, or advisor-facing environment.
- Interest in annuities, life insurance, financial services, or sales support preferred, while recognizing this role is administrative and non-licensed.
- Demonstrated ability to stay composed, flexible, and service-oriented in a fast-paced environment with frequent calendar changes.
- Demonstrated ability to work independently from a daily plan while staying aligned with team priorities and manager direction.
Base Pay Range:
The base pay range noted represents the company’s good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent upon several factors, including but not limited to experience, qualifications and geographic location. Also, most employees are eligible for additional incentive pay.
