The Role

Are you passionate about building the operational systems that enable teams to deliver lifesaving impact? If so, you may be the next Operations Support Consultant with our Ethiopia Program.
Reporting to the Finance and Operations Director, Ethiopia, the Operations Support Consultant plays a key role in supporting the day-to-day operations of Last Mile Health's Ethiopia program. The consultant will help ensure staff can travel safely, offices are well equipped, vendors are managed effectively, and operational systems run smoothly to enable high-quality program delivery.
Working at the intersection of operations, finance, and program teams, the consultant will coordinate logistics, procurement, events, and administrative activities while promoting efficiency, transparency, and value for money. The role will help ensure resources are managed responsibly and that operational support enables teams to focus on delivering impact for the communities we serve.
This role is based in Addis Ababa, Ethiopia and is open to candidates who are located in and have work authorization in Ethiopia.
Consultancy Details
- Project Duration: September, 2026- June, 2026
- Commitment: Up to 35 hours per week
- Location: Addis Ababa, Ethiopia
- Fees: Monthly fees of $1300 USD
Scope of Work
Logistics & Travel Management
- End-to-end management of international and domestic travel for staff and consultants, including flights, accommodation, and ground transportation.
- Facilitate visa applications and provide necessary documentation for staff traveling across various international borders.
- Lead the logistical planning for training events, conferences, workshops, and retreats (venue sourcing, catering, equipment rentals, and participant travel).
- Processing import/export documents such as invoices, packing lists, and bills of lading.
- Ensuring all logistics and operations-related activities comply with organizational, local and donor laws and conditions.
Procurement & Vendor Management
- Identify, evaluate, and select vendors for office supplies, IT equipment, and professional services in alignment with Last Mile Health procurement policies.
- Maintain a database of preferred vendors and regularly review service level agreements (SLAs) to ensure quality and cost-effectiveness.
- Negotiate rates with hotels, airlines, and other service providers to efficiently utilize allocated budget by balancing lowest-price criteria with quality and reliability to maximize impact (Value for money).
- Assessing supplier performance on quality, timeliness, and cost-effectiveness after delivery.
- Maintaining detailed records of all transactions, including purchase requisitions, quotations, and vendor contracts to allow for audit trails.
- Maintain an up-to-date inventory of office supplies and fixed assets (laptops, furniture, etc.).
- Monitor stock levels and initiate timely procurement to ensure zero downtime for staff.
Financial Integration & Compliance
- Initiate formal payment requests and ensure all vendor invoices are matched with Purchase Orders (POs) and delivery notes.
- Work closely with the Finance Team to ensure timely settlement of bills and reconciliation of monthly purchase orders/travel advances.
- Maintain meticulous digital and physical records of all procurement and travel transactions for internal and external audits.
Required Qualifications:
- Demonstrated experience working in INGO in Ethiopia on Operations such as procurement, logistics, Asset registry and Store management, HR Support.
- Ability to work cooperatively and collaboratively with all levels of employees, management, and external stakeholders to maximize performance, creativity, problem solving, and results
- Ability to work independently and clearly communicate needs and expectations from team members and management.
- Attention to detail, deadlines, and quality of delivery
- Demonstrated experience working in operations for non-governmental organizations.
