Workplace Coordinator – JLL
What this job involves:
This role delivers comprehensive facilities management services and creates exceptional workplace experiences that enhance employee productivity and satisfaction. You will partner with facility managers to execute day-to-day operations including space management, vendor coordination, technology support, and workplace services. This position drives continuous improvement in workplace functionality while maintaining operational excellence and ensuring seamless facility operations that support JLL's business objectives.
What your day-to-day will look like:
- Design and implement workplace programs that enhance employee engagement, collaboration, and well-being while monitoring workplace utilization patterns and recommending space optimization strategies
- Execute comprehensive facility management protocols including preventive maintenance scheduling, vendor management, and work order coordination within CMMS platforms
- Manage procurement processes for supplies, services, and equipment through established vendor networks, processing purchase orders and service contracts in compliance with budget parameters
- Serve as primary liaison between employees, visitors, vendors, and service providers, delivering exceptional customer service through proactive communication and prompt issue resolution
- Coordinate conference room bookings, space reservations, meeting technology support, and special events requiring facilities support
- Administer security systems, access control protocols, and visitor management programs while maintaining compliance with safety regulations and building codes
- Support tactical planning initiatives, project management activities, and maintain comprehensive documentation for maintenance activities, service contracts, and compliance requirements
Required Qualifications:
- Associate's degree in Facilities Management, Business Administration, or related field; or equivalent professional experience
- Minimum 2+ years of facilities management, property administration, or workplace services experience
- Experience with CMMS platforms (Corrigo preferred) and automated work order management systems
- Advanced customer service orientation with proven ability to manage multiple stakeholder relationships
- Proficiency in Microsoft Office Suite, with advanced Excel capabilities for reporting and data analysis
- Strong written and verbal communication skills with professional presentation abilities
- Exceptional organizational skills with demonstrated ability to manage competing priorities under time constraints
Preferred Qualifications:
- Certification in Facilities Management (CFM) or related professional credentials
- Experience with workplace technology platforms and space management software
- Knowledge of sustainability practices and workplace wellness initiatives
- Project coordination experience in corporate environments
- Collaborative approach with ability to work independently and exercise sound judgment
Location: Chicago, IL
Work Shift: 1st shift, 7:00 AM – 3:30 PM, Monday to Friday
