The Family Office Operations Manager provides leadership and oversight of the Family Office bill pay administration function, ensuring the accurate and timely execution of financial administration activities for family office clients. This role manages daily operations, supervises Family Office paraprofessionals, oversees complex client projects and financial administration processes, and drives continuous improvement to enhance service quality, operational efficiency, consistency, and risk management. The Family Office Operations Manager also serves as a key resource for complex client matters, team development, and strategic practice initiatives while maintaining the highest standards of confidentiality, professionalism, and client service.
Position Responsibilities
Lead and oversee the day-to-day operations of the Family Office bill pay administration team.
Directly supervise Family Office Paraprofessionals, including workload management, coaching, performance management, mentoring, and professional development.
Review and oversee transaction processing, accounts payable activities, general ledger maintenance, journal entries, and account reconciliations.
Ensure the timely and accurate completion of monthly and quarterly reporting packages.
Oversee cash management activities, payment processing, recurring bill administration, and client distribution requests.
Establish, maintain, and monitor operational controls, policies, and procedures to support quality, consistency, and risk management.
Identify, develop, and implement process improvements that enhance operational efficiency and client service.
Serve as a primary escalation point for complex client matters and operational issues.
Oversee special client projects and requests, including the coordination of resources, priorities, and deliverables.
Coordinate with internal professionals and external advisors regarding accounting, tax, investment, and family office administrative matters.
Promote collaboration, mentorship, knowledge sharing, and continuous improvement throughout the Family Office team.
Champion the highest standards of confidentiality, professionalism, accuracy, and client service.
Support strategic initiatives and growth objectives within the Family Office practice.
Perform other duties as assigned.
Education
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred.
Experience
Minimum of 5 years of experience in family office operations, accounting, wealth management, financial operations, or a related professional services environment.
Experience overseeing accounts payable, cash management, bill pay administration, financial reporting, and other financial administration processes.
Demonstrated experience leading teams, managing workloads, coaching team members, and driving operational improvements.
Must be able to remain in a stationary sitting position for at least 75% of the time.
Must be able to lift at least 15 lbs. Specific job duties may require additional lifting to move, transport, position, and install equipment.
Frequently positions self to bend and lift packages.
Occasional moving and lifting of equipment, bending, lifting, and climbing may be required to position self to maintain computers during engagements.
Person in position needs to occasionally move about the inside of the office to access machinery, cabinets, and other equipment.
Person in position frequently communicates with individuals who have inquiries. Must be able to exchange information in these situations.
Ability to work in a high-stress environment.
Reliable transportation and a valid driver’s license are required, including a clean driving record.
Minimum levels of automobile insurance coverage are required.
Ability to travel locally and work overtime and weekends is required.
Ability to travel overnight or internationally may be required.

Strong understanding of accounting principles, financial report preparation, general ledger management, journal entries, and account reconciliations.

The compensation range reflects the base salary we reasonably expect to pay for this position across our offices in the following regions: CO, IL, OH, and MA.
