Position Summary

Gotham Tax Service is seeking a dependable and motivated Customer Service & Operations Intern to support our team during tax season. This internship provides hands-on experience in customer service, office administration, business operations, and the day-to-day workflow of a professional tax and accounting office.

The intern will work closely with our operations and tax teams to assist clients, maintain organized office processes, support scheduling and document management, and help keep daily operations running smoothly. This is a multi-location support role, and the intern may travel between offices based on staffing and operational needs. This may include providing front-office or administrative coverage when regular staff members are absent, scheduled off, or when additional support is needed.

Primary Responsibilities

Client Service & Front Office Support

• Greet clients and provide a professional and welcoming experience.
• Answer incoming phone calls and assist with general client questions.
• Schedule, confirm, reschedule, and manage client appointments.
• Assist clients with completing intake forms and other required paperwork.
• Receive client tax and accounting documents and ensure they are routed appropriately.
• Assist with client follow-ups regarding missing documents, appointments, payments, or other items requiring action.
• Maintain an organized and professional reception and waiting area.

Office & Operations Support

• Assist with scanning, uploading, organizing, and maintaining electronic client documents.
• Monitor and organize document folders and internal workflow systems.
• Assist with preparing documents, packets, forms, and other office materials.
• Help ensure office procedures and administrative processes are followed consistently.
• Assist management with special projects and general operational needs.
• Identify opportunities to improve organization, efficiency, and client service.

Qualifications

Required

• Reliable transportation and the ability to travel between locations as needed.
• Currently enrolled in a college, university, technical school, or other educational program, or a recent graduate.
• Strong communication and customer service skills.
• Dependable, organized, and able to manage multiple priorities.
• Comfortable learning new computer systems and office technology.
• Ability to handle confidential client and business information appropriately.
• Professional and respectful when working with clients and coworkers.
• Willingness to learn and take initiative.

Preferred

• Coursework in business administration, accounting, finance, management, human resources, communications, or a related field.
• Previous customer service, administrative, retail, or office experience.
• Experience with scheduling, document management, Microsoft Office, or similar business software.
• An interest in learning more about tax preparation, accounting, or small-business operations.

Gotham Tax Service provides tax preparation, accounting, payroll, and related financial services to individuals and businesses. Our team works closely with clients throughout the year, with our busiest season occurring from January through April.

Interns will have the opportunity to see firsthand how client service, administrative operations, tax preparation, accounting, technology, and business management work together within a professional services firm.

Internship Opportunity

This is a paid internship with flexible scheduling based on school commitments and business needs. Both part-time and full-time availability may be considered.
