Secretary Class III
Department: Respiratory Care, Dental Hygiene, Medical Assisting, and other programs as assigned
Primary Function: To perform varied high-level secretarial and administrative duties under general supervision in support of the assigned school, department, center, or academic unit and its programs, operations, and strategic initiatives.
Responsibilities: Under the general supervision of the immediate supervisor(s), responsibilities may include: (1) Provide high-level secretarial and administrative services: using College standard software, technology, and associated peripherals, prepare and process correspondence, reports, presentations, records, and other documents; maintain and monitor department email accounts; proofread materials for accuracy; answer phones and screen calls as required; greet visitors; maintain files according to established procedures; schedule appointments and meetings; coordinate travel arrangements; support special events and activities; receive, organize, and distribute mail; inventory and order office supplies; and operate general office equipment as required; (2) Support departmental and academic operations: utilize Workday and other College systems to process transactions, maintain records, and generate reports; assist with faculty workload, overload, payroll, budget monitoring, and related administrative processes; coordinate routine information and communications; maintain departmental records and databases; support accreditation, compliance, reporting, and other operational activities; assist faculty, staff, students, and community partners; and support special projects and initiatives as assigned; (3) Direct student assistants: delegate responsibilities and workload and provide routine guidance, if applicable; (4) Handle confidential matters and problem solving as the initial point person and guide and redirect individuals as necessary; (5) Implement special responsibilities as assigned by the supervisor.
Organizational Relationships: Responsible to the immediate supervisor(s) for performance of assigned responsibilities.
Performance Standards: Performance in this position is considered satisfactory when: (1) responsibilities of the position have been carried out at a level that ensures efficient and effective support of departmental operations, academic programs, faculty, staff, and students; (2) work is completed accurately, professionally, and in a timely manner; and (3) effective cooperative relationships exist with faculty, staff members, students, community partners, and members of the public.
Qualifications: (1) Education: (a) high school diploma required; Associate degree in Business Administration, Office Administration, Administrative Assistant Studies, or a related field preferred (b) any combination of training or experience that would facilitate the performance of the above responsibilities. (2) Skills, Knowledge, and Abilities: (a) ability to use technology systems to support departmental operations; (b) accurate keyboarding skills; (c) proficiency in College standard software, including word processing, spreadsheets, databases, and enterprise systems; (d) ability to prioritize and organize work; (e) strong oral and written communication skills; (f) ability to understand and follow oral and written instructions; (g) high degree of confidentiality, discretion, and professionalism; (h) adaptability and initiative. (3) Experience: Five years of related experience preferred.
