Position Summary:
Key Responsibilities:
- Assist with daily load planning and driver assignments.
- Communicate with drivers to confirm their status and availability.
- Track pickups, deliveries, and appointment times.
- Keep the dispatch board and internal systems accurate and updated.
- Monitor loads and immediately report potential delays or service issues.
- Contact customers, warehouses, and terminals for load updates.
- Collect and organize bills of lading, delivery receipts, interchange documents, and other paperwork.
- Upload and maintain documents in the company’s transportation management system.
- Confirm drivers have the correct addresses, reference numbers, appointment times, and load instructions.
- Assist with scheduling port, terminal, and warehouse appointments.
- Track equipment availability, including trucks, chassis, and containers.
- Help ensure empty and loaded containers are returned before applicable deadlines.
- Provide general administrative support to the operations team.
- Maintain professional communication with drivers, customers, and coworkers.
- Perform other transportation-related duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Previous dispatching experience is not required.
- Basic knowledge of Microsoft Excel, Google Sheets, and email.
- Comfortable learning transportation software and internal systems.
- Strong attention to detail and organizational skills.
- Clear written and verbal communication.
- Ability to multitask in a fast-paced environment.
- Dependable, punctual, and willing to learn.
- Ability to follow instructions and communicate problems quickly.
- Bilingual English and Spanish is preferred but not required.
- Transportation, trucking, warehouse, or customer service experience is a plus.
