  • Prepare documented credit limit recommendations within established procedures and delegated authority.
  • Escalate requests involving elevated risk, high concentration, adverse credit, exceptions, or    amounts exceeding assigned authority.

New Debtor Setup and Verification

  • Complete required credit and verification procedures before new debtor invoices are approved for funding.
  • Verify the debtor’s legal name, business address, Accounts Payable contact information, and other required business details through independent sources.

  • Establish approved debtor limits, review dates, and supporting documentation in the company operating system.

Notice of Assignment (NOA) Confirmation

  • Confirm debtor receipt and acknowledgment of the company Notice of Assignment.
  • Verify that the debtor understands payments on assigned invoices must be remitted directly to the designated factoring company account or lockbox.
  • Confirm that Accounts Payable records and payment instructions have been updated appropriately.
  • Document the contact’s name, title, date, method, and result of the NOA confirmation.
  • Escalate disputed assignments, conflicting payment instructions, prior assignments, lien concerns, or refusal to acknowledge NOA.

Debtor Credit Report Review

  • Obtain and review commercial credit reports and other available credit information.
  • Assess credit scores, risk ratings, Days Beyond Terms (DBT), trade payment experiences, collections activity, liens, judgments, bankruptcies, business age, and operating history.
  • Compare external credit information with internal payment experience when available.
  • Identify material deterioration or adverse developments that may warrant a limit reduction, suspension, or termination.

Existing Debtor Renewals

  • Complete periodic debtor credit renewals based on company policy and established review schedules.
  • Review current exposure, payment performance, aging, concentration, credit reports, and other available information.
  • Recommend maintaining, increasing, decreasing, suspending, or terminating existing debtor limits, as appropriate.
  • Complete and retain required renewal documentation and escalate material adverse            findings.

Ongoing Monitoring and Credit File Maintenance

  • Monitor debtor exposure against approved limits and report over-limit positions.
  • Review payment and aging trends for signs of deterioration, disputes, dilution, or concentration risk.
  • Maintain complete electronic credit files, including approvals, reports, verification records, NOA confirmations, renewals, and supporting correspondence.
  • Update debtor limits, review dates, notes, and status information accurately in the operating system.
  • Support internal audits, quality-control reviews, watch lists, and management reporting.

Additional Responsibilities

  • Assist senior credit personnel with special reviews, portfolio projects, and credit exception tracking.
  • Support Collections with credit-related debtor research and payment-performance information.
  • Assist in identifying potentially fraudulent, duplicate, fictitious, or otherwise questionable debtor information.
  • Maintain debtor renewal schedules and credit-related tracking reports.
  • Participate in portfolio and credit review meetings.
  • Perform other credit, risk, collections, and operational duties as assigned.

Experience and Skills

  • Basic understanding of commercial credit, accounts receivable, and AR aging.
  • Ability to review commercial credit reports and recognize payment trends or adverse                information.
  • Strong attention to detail, documentation, organization, and follow-through.
  • Professional written and verbal communication skills, including communication with debtor Accounts Payable departments.
  • Ability to manage multiple reviews, renewals, verification tasks, and deadlines.
  • Ability to work effectively in a fast-paced environment and make timely, accurate credit    decisions that support uninterrupted operational workflow while remaining within   established credit policies and approval authority.
  • Proficiency with Microsoft Excel, Word, Outlook, and other Microsoft 365 applications.
