🤖 AI-DRIVEN EXECUTIVE ASSISTANT - Talent Pool

Seniority: Senior - Mid-level - Junior
ABOUT RAD HIRES
Rad Hires is a US staffing and recruiting agency that connects professionals in LATAM and the Philippines with companies in the United States. We don't place people and disappear: we stay involved through onboarding, payments and the day-to-day of the engagement.Â
ABOUT THE ROLE
We're building a pool of Executive Assistants who work with AI, not around it.Most EA roles ask you to be organized and responsive. This one asks for that plus something else: that you use AI tools daily to do in two hours what used to take six, and that you can show how. The executives we support are founders and senior leaders at small US companies. They don't have an operations team behind them. You will be it.
This is not a single job opening. It's a talent pool: we screen Executive Assistants once and keep a vetted bench ready for our US clients. When a client role opens that matches your profile, seniority and availability, we come to you first with the specifics: the client, the schedule, the hours and the rate. There's no fixed start date, so you might hear from us in a few weeks or in a few months.
WHAT YOU'LL DO
-
Own an inbox and a calendar — triage, draft replies, protect focus time, chase what's stuck
-
Draft first versions with AI and bring them to a finished state yourself: emails, briefs, agendas, client-facing documents
-
Prepare the executive for every meeting: context, open items, what they need to decide
-
Capture meetings with an AI notetaker, then turn the output into decisions and owners, not a transcript
-
Build small automations that remove recurring manual work (form to sheet, sheet to Slack, recurring report)
-
Research and summarize vendors, candidates, competitors and prospects — with sources, not vibes
-
Clean up and maintain spreadsheets and trackers
-
Handle travel, expenses and vendor coordination
-
Document how things get done, and keep a prompt library of what actually works
WHAT WE LOOK FOR
-
3+ years supporting executives, founders or senior leaders — ideally at US-based companies
-
English at C1 or above, written and spoken. You'll be writing on behalf of someone else
-
Daily, hands-on use of an LLM for real work. Tell us which one and what you use it for
-
Comfortable in Google Workspace and Slack, plus at least one of Notion, Asana, ClickUp or Monday
-
Some exposure to no-code automation (Zapier, Make, or similar) — or clear evidence you pick up tools fast
-
Able to overlap with US business hours
-
Reliable home office setup and stable internet
SIGNALS WE LOVE
-
You can name a task you automated and tell us what it used to cost you in hours
-
You know when not to use AI — anything sensitive, anything requiring judgment you don't have yet
-
You edit AI output instead of pasting it. You can tell when a draft sounds like a machine
-
You ask for context before executing, and then don't ask twice
-
You write things down so the next person doesn't have to ask
THIS ROLE IS NOT FOR YOU IF
- You need the task broken down step by step before you start
- You treat an AI draft as finished work
- You can't commit to a consistent overlap with US hours
- You're looking for something short-term while you search for a full-time role

HOW THE PROCESS WORKS
We keep it short and practical. Every step tells us something real about how you work, and you’ll hear back from us at every stage, even if it’s a no.
-
Apply. Send your resume in English and your short note on a workflow you’ve improved with AI.
-
Interview with our recruiting team. A 30 minute conversation in English about your experience supporting executives and how you use AI in your day-to-day.
-
Claude courses. Three short, free courses from Anthropic Academy, to be completed within one week. Each one ends with a certificate you’ll send us.
-
Live Claude session. A 30-minute call where you’ll solve a few real EA tasks with Claude while sharing your screen. You’ll need your own Claude account. There’s nothing to prepare: we want to see how you think, not a perfect result.
-
Your resume, our format. After the live session, you’ll build your resume in the Rad Hires format, following the guidelines we share during the call, and send it within 72 business hours.
-
References. Two references from people who managed you directly.
-
Welcome to the pool. You’re on our bench, and we’ll reach out first when a client role matches your profile.
Being in the pool doesn't commit you to anything. You decide whether to move forward with each role we bring you!
