Description
Position: Contract & Finance Systems Coordinator
About the role
The Contract & Finance Systems Co-ordinator sits where contracts meet systems: translating the commercial and financial terms of Cera’s contracts into accurate set-up within our operational and finance systems, so that services are delivered, billed and paid correctly from day one.
The role supports the onboarding of new contracts – whether through acquisition, tender or contract change – and acts as a system administrator for contract set-up, ensuring contract data is accurate, consistent and well controlled.
As Cera continues to evolve its systems, processes and structures, the role will help shape how contracts are set up and managed, and will adapt readily to new tools and ways of working.
The role works closely with the Contracts & Revenue Assurance function, handing over accurately configured contracts for ongoing assurance, audit and change.
Responsibilities
Contract review and commercial analysis
Review and interpret customer contracts (including Local Authority and other commissioner contracts) to identify key commercial and financial terms, such as charging models, payment terms, service levels and contractual obligations.
Produce and maintain clear, consistent commercial overview documents and templates summarising contract terms for operational, finance and system teams.
Support due diligence for acquisitions by reviewing contract terms and highlighting risks, issues or considerations.
Identify commercial and financial risks or opportunities within contract terms, and flag where current systems or processes may not support them.
System administration and contract set-up
Act as a system administrator for contract set-up, configuring and maintaining contract records, rates, billing and payment rules and related data across Cera’s operational and finance systems.
Set up new contracts and process contract changes (e.g. variations, rate changes, extensions and terminations) accurately and within agreed timescales.
Maintain system reference data, configuration and user access in line with agreed controls and governance.
Provide first-line support for queries relating to contract set-up, investigating and resolving issues or escalating where appropriate.
Support the testing of system changes, upgrades and new functionality affecting contract, billing and payroll set-up.
Onboarding, integration and mobilisation
Support the mobilisation of contracts won via tender and the integration of acquired businesses, ensuring contracts are correctly set up in Cera systems ahead of go-live.
Ensure contract and financial data is accurately mapped, migrated and validated from legacy or third-party systems.
Support integrations post-go-live checks and validation of invoicing and payroll outputs, resolving issues arising from set-up.
Collaboration and continuous improvement
Work closely with Legal, Finance, Operations, Commercial, Contracts & Revenue Assurance and project teams to agree contract interpretation and ensure data accuracy.
Create and maintain process documentation, playbooks and guides, keeping them current as systems and processes change.
Contribute to process and system improvement initiatives, identifying opportunities to standardise, simplify and automate.
Qualifications and Skills
Understanding of commercial contracts and the ability to extract key financial and commercial terms (e.g. charging models, payment terms, billing types).
Experience of system administration or configuration, ideally within finance, care management, ERP or similar business systems.
Strong focus on data integrity and accuracy, with excellent attention to detail.
Understanding of how contract terms flow through to billing, invoicing and payroll.
Strong communication skills, with the ability to explain commercial and system topics to non-specialist colleagues.
Adaptability – comfortable learning new systems and working through periods of process and organisational change.
Problem-solving mindset, able to work independently and as part of a team, and to manage competing priorities and deadlines.
Strong spreadsheet skills (Excel or Google Sheets).
Health and social care, Local Authority or public sector contracts experience desirable.
