Join Our Team
Advanced Obstetrics & Gynecology is looking for a friendly, organized, and dependable Call Center Representative to join our Call Center team.
Our Call Center Representatives play an essential role in connecting patients with the care they need. Often serving as the first point of contact with our practice, you will help patients schedule appointments, answer questions, navigate their care, and feel supported throughout their experience with us.
We are looking for someone who enjoys helping people, communicates clearly and compassionately, and thrives in a collaborative, team-oriented environment. Healthcare experience is preferred, but just as important to us is finding someone who is eager to learn, takes pride in their work, and genuinely cares about providing excellent service to patients.
Why You'll Enjoy Working Here
We believe excellent patient care starts with an excellent team. Our physicians, clinical staff, and administrative team members work together to provide high-quality, compassionate care to women throughout different stages of their lives.
We are committed to creating a workplace where team members feel supported, continue to learn, and understand how their work contributes to the care of our patients.
As a member of our team, you can expect:
- A collaborative environment where physicians, clinical staff, and administrative team members work together and support one another.
- Training and opportunities to learn our practice, systems, and workflows while continuing to develop your skills.
- A patient-centered culture focused on providing responsive, compassionate, high-quality care.
- A team that values your contribution and encourages employees to ask questions, share ideas, and help us continuously improve.
- Meaningful patient interactions where your communication, problem-solving, and attention to detail help patients access the care they need.
What You'll Do
As a Call Center Representative, you will serve as an important connection between patients, providers, and other members of the practice, helping ensure that patients receive timely, accurate, and compassionate assistance.
Your responsibilities will include:
- Answer incoming patient calls in a friendly, professional, and timely manner, creating a positive experience with every interaction.
- Schedule, reschedule, and coordinate patient appointments across our practice locations.
- Assist patients with general questions about appointments, office procedures, and practice policies
- Provide clear information about appointment preparation and next steps using established practice guidelines.
- Verify and update patient demographic and insurance information to maintain accurate records.
- Document patient communications and scheduling activities accurately in NextGen, our electronic health record system.
- Recognize clinical questions and concerns and promptly triage and route them to the providers
- Identify and escalate urgent or sensitive patient concerns according to established practice protocols.
- Coordinate with front desk, clinical, and billing teams to help resolve patient questions and ensure continuity of care.
- Manage a high volume of calls while maintaining professionalism, accuracy, and a compassionate approach.
- Protect patient privacy and confidentiality and follow HIPAA requirements.
- Participate in training, team meetings, and process improvements to support a positive patient experience and efficient practice operations.
What Success Looks Like
Successful Call Center Representatives are compassionate, dependable, and organized individuals who patients and coworkers can count on. They communicate clearly, listen carefully, manage patient needs efficiently, and understand that every phone call is an opportunity to provide reassurance, support, and excellent service.
During your first year, you will become confident navigating our scheduling systems and workflows, develop strong relationships across the practice, and become a trusted resource for patients and colleagues. You will contribute to a positive patient experience by helping patients access the care they need and ensuring that their questions and concerns are handled appropriately.
