Leisure Sales Coordinator Summary
The Leisure Sales Coordinator supports the Director of Leisure Sales and Leisure Sales Manager in driving transient revenue through exceptional sales coordination, account support, detailed reservation management, and personalized service to the luxury travel advisor community.

This is an on-site position requiring a Mon-Fri workday 8:30am-5:00pm with occasional weekends and holidays. 

Essential Functions

  • Support the Director of Leisure Sales with day-to-day account management, sales initiatives, and administrative responsibilities.
  • Review upcoming arrivals daily and perform pre-arrival outreach to identify VIP guests, repeat guests, special occasions, and travel advisor bookings, ensuring all preferences, amenities, and operational notes are communicated and executed prior to arrival.
  • Maintain comprehensive guest profiles by documenting preferences, special requests, dining and activity interests, loyalty information, and stay history to support exceptional recognition on future visits.
  • Generate and distribute monthly, quarter and annually all agency production reports, account production, and other sales analytics to support strategic decision-making.
  • Monitor advisor production and booking trends, identifying opportunities for growth.
  • Serve as a primary onsite point of contact for travel advisors by providing timely, professional, and personalized communication.
  • Conduct Site Inspections for travel industry clientele 
  • Track all Site Inspections with timely follow up
  • Prepare customized quotes, correspondence, and follow-up materials.
  • Coordinate closely with Reservations, Front Office, Housekeeping, Food & Beverage, Spa, Concierge, and other departments to ensure seamless VIP arrivals and personalized guest experiences.
  • Update and maintain the travel advisor database and account profiles through MIDAS and Opera.
  • Support Director of Leisure Sales and Leisure Sales Manager in their participation in trade shows, FAM trips, sales missions, webinars, client events, and post-event follow-up.
  • Build collaborative relationships with Montage Leisure Sales colleagues, Global Sales Offices (GSOs), Reservations, Revenue Management, and Resort Operations.
  • Consistently represent Montage International with professionalism while delivering Forbes Five-Star service standards.


Secondary Functions

  • Assist with departmental projects and participate in Hearts of Montage and other People Department opportunities for community service.
  • Foster relationships within the Big Sky community to support destination partnerships.
  • Maintain departmental files, databases, and sales collateral.
  • Uphold Montage International brand standards throughout all interactions.


Qualifications

  • 2+ years of luxury hotel sales, reservations, hospitality, or travel industry experience preferred.
  • College Degree preferred
  • Experience working with luxury travel advisors and consortia, including Virtuoso, Signature Travel Network, Internova SELECT, Ensemble, and American Express Fine Hotels + Resorts preferred.
  • Excellent organizational and time management skills with exceptional attention to detail.
  • Strong written, verbal, interpersonal, and presentation skills.
  • Proven ability to manage multiple priorities in a fast-paced luxury hospitality environment.
  • Professional, polished, and highly service-oriented with a proactive approach.
  • Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Experience with Opera PMS, MIDAS, ALICE, Birchstreet or similar hotel systems preferred.
     

Physical Requirements
Must be able to sit at a desk and work on a computer for extended periods throughout the workday. Frequent standing, walking, reaching, typing, speaking, hearing, and visual acuity are required to perform the essential functions of the position.
