About the Role

We are looking for a detail-oriented and organized People Systems Administrator to support the day-to-day administration, maintenance, and accuracy of employee data and People/HR systems.

In this role, you will help ensure that employee information is accurate, secure, up to date, and readily available for reporting, compliance, and operational requirements. You will support HR system administration, data entry and validation, workforce reporting, user queries, documentation, and continuous process improvement.

Key Responsibilities

People Systems Administration

  • Maintain accurate employee records in HR systems.
  • Process employee lifecycle updates, including onboarding, offboarding, employment changes, reporting lines, and organizational updates.
  • Support day-to-day HR system administration, user access management, and basic workflow maintenance.
  • Assist with system testing, upgrades, implementations, and other system-related activities.
  • Troubleshoot routine HR systems issues and escalate complex system or data concerns when needed.

Data Quality & Validation

  • Conduct regular data checks to ensure the accuracy and completeness of employee information.
  • Identify and correct data issues and escalate recurring problems.
  • Support data cleansing, audits, and compliance checks.
  • Maintain secure and confidential handling of employee and workforce data.
  • Help ensure data is processed in line with internal policies and data privacy requirements.

Reporting & Management Information

  • Support the preparation of workforce reports, KPIs, and management information.
  • Extract, validate, and organize HR data from systems.
  • Assist with Excel-based reporting and basic data analysis.
  • Ensure reports and data outputs are accurate before submission.
  • Support reporting requirements from HR, Payroll, Finance, and other internal stakeholders.

Systems & User Support

  • Act as a first point of contact for routine HR systems queries.
  • Respond to system-related inquiries from employees, managers, and internal users.
  • Provide clear guidance on system use and standard HR processes.
  • Log, track, resolve, or escalate system issues appropriately.
  • Support users in following correct system processes and maintaining accurate data.

Process Documentation & Continuous Improvement

  • Maintain and update process documentation, user guides, and standard procedures.
  • Support updates to training materials and system documentation.
  • Identify opportunities to improve system processes, workflows, data accuracy, and efficiency.
  • Contribute ideas that can reduce manual work, duplication, and avoidable errors.
  • Assist in implementing system enhancements, upgrades, and process improvements.

Qualifications & Experience

  • Bachelor's degree in Human Resources, Business Administration, Information Systems, or a related field.
  • At least 2 years of experience in HR systems or HRIS administration.
  • Strong knowledge of HR processes, including employee data management, onboarding, offboarding, and reporting.
  • Experience in HRIS or similar business systems, including user access management, troubleshooting, and system support.
  • Proficient in Microsoft Excel for data entry, reporting, and basic analysis.
  • Strong attention to detail with experience handling large volumes of accurate and confidential employee data.
  • Good communication, organizational, and problem-solving skills with the ability to support users and escalate issues appropriately.
  • Understanding of data privacy, confidentiality, and compliance requirements.
