Description
This role supports the day-to-day operations of the Finance team by providing accurate and timely administrative support across accounts payable, accounts receivable, billing, reconciliations and other routine finance processes. Working under the guidance of senior colleagues, the Finance Administrator will help maintain accurate records, respond to day-to-day queries and deliver a high standard of service to the department and the wider Bedell Cristin global partnership.
Key Responsibilities
- Posting cash receipts accurately and promptly, checking payor information and escalating any anti-money laundering queries before funds are applied.
- Assisting with the preparation and completion of bank reconciliations in the practice management system (Aderant), investigating straightforward differences and escalating unresolved items.
- Monitoring and responding to routine tasks and enquiries received through the Finance Helpdesk, referring more complex matters to senior colleagues.
- Processing supplier invoices and staff expenses accurately and supporting the preparation of scheduled BACS payment runs and approved ad hoc payments.
- Entering electronic payments on banking platforms for review and authorisation by approved signatories.
- Assisting with the preparation of invoices and responding to routine billing queries from practice groups.
- Posting and maintaining accurate records in the practice management system.
- Running standard WIP and debtor reports and providing routine breakdowns for practice areas as requested.
- Posting corporate credit card transactions and matching them to statements and receipts, following up on missing information.
- Assisting the Property Team with weekly considerations related to property transactions.
- Assisting with the administration of client accounts in accordance with Jersey Law Society requirements and group policies, escalating concerns promptly.
- Following documented Finance procedures and suggesting practical improvements where appropriate.
- Providing absence cover for routine activities undertaken by other members of the Finance Team, following suitable training.
- Supporting departmental and firm-wide initiatives through ad hoc administrative and project work.
- Consistently delivering a high standard of service to internal and external clients.
Knowledge, skills and experience required
- A basic understanding of accounting principles and an interest in developing finance knowledge.
- Competence in MS Office (particularly Excel, Word, and Outlook).
- Previous experience using Aderant is advantageous but not essential.
- Previous administrative or finance experience is desirable.
- A positive, organised and adaptable approach to work, with a willingness to learn.
- Values teamwork and actively contributes to a supportive working environment.
- Remains organised during busy periods (e.g., month-end) and works collaboratively with the team to meet deadlines.
- Good time-management skills, with the ability to organise routine tasks, follow priorities and raise capacity concerns promptly.
