Description
Role Summary/Purpose:
We are seeking a highly skilled Event Support Specialist to join Synchrony’s Executive Support team and deliver flawless technology execution for our most visible events. This role owns the end‑to‑end event technology experience — Board meetings, Earnings calls, Executive Leadership Team and senior leadership sessions, town halls, investor and client engagements, and destination/offsite events.
This individual contributor partners closely with Executive Support, Conferencing Technology, Executive Event Planning, Investor Relations, Communications, and Facilities to plan, rehearse, produce, and support live and hybrid events where there is no margin for error.
NOTE: This role is based onsite at our Stamford office, 5 days per week, with travel to other Synchrony hubs and offsite venues as events require.
Essential Responsibilities:
Event Production & Live Execution
Produce and run technology for high‑profile executive events, including Board meetings, Earnings calls, ELT/SLT sessions, town halls, and investor and client engagements.
Operate and direct live event technology — audio mixing, camera switching, presentation and content playback, lower thirds, streaming, and recording — delivering a broadcast‑quality experience.
Manage hybrid and virtual audiences across Microsoft Teams (including Town Halls and Webinars), Zoom, and Webex, including moderated Q&A, registration, attendee management, and post‑event distribution.
Event Planning, Rehearsal & Readiness
Partner with Executive Event Planning, Investor Relations, and Communications to scope event requirements, build run‑of‑show documents, and define technical production plans.
Lead technical rehearsals, speaker walkthroughs, and content checks; validate room systems, network, audio, video, and failover paths ahead of every event.
Prepare and test contingency plans and backup workflows so a single point of failure never reaches the executive audience.
Boardroom & Venue Technology
Set up, validate, and operate conferencing and AV solutions — microphones, cameras, codecs, displays, control systems, mixers, and switchers — in boardrooms, auditoriums, and offsite venues.
Coordinate AV vendors, production partners, and venue technical staff for offsite and destination events, including load‑in, rehearsal, show, and strike.
Maintain event equipment inventory, staging kits, and readiness of boardroom and event spaces.
Executive Partnership & Cross‑Functional Engagement
Provide discreet, high‑touch, hands‑on support to executive presenters before and during events, including presenter coaching on technology and content flow.
Coordinate closely with executive assistants, chiefs of staff, Executive Support site leads, Facilities, Security, and global support partners (U.S. hubs and India GCC) to ensure end‑to‑end coverage.
Provide clear, timely communication during incidents, schedule changes, and escalations impacting leadership events.
Innovation & Continuous Improvement
Recommend production tools, workflows, and experience enhancements that raise event quality and reduce execution risk.
Support pilots and early adoption of modern event and collaboration capabilities (e.g., AI‑assisted recap and captioning, streaming upgrades, new room and camera systems).
Operational Support & Reporting
Maintain accurate event records, run‑of‑show archives, after‑action notes, and issue documentation to support trend analysis and continuous improvement.
Participate in after‑hours, early‑morning, and occasional weekend coverage aligned to the executive event calendar, including earnings season.
Perform other duties and/or special projects as assigned
Qualifications/Requirements:
Education/experience: Bachelor’s degree with 5+ years IT experience or 9+ years IT experience in lieu of a degree.
7+ years producing or supporting live corporate, broadcast, or executive events, ideally in a white‑glove or regulated environment.
Deep hands‑on expertise with:
Live audio, video, lighting, and presentation systems (mixers, switchers, codecs, cameras, displays, control systems)
Streaming and webcast platforms (Microsoft Teams Town Hall/Webinar, Zoom, Webex)
Windows and macOS endpoints and presenter device support
Content and presentation workflows (PowerPoint, media playback, remote presenters)
Demonstrated ability to troubleshoot complex issues calmly and independently under live, high‑pressure conditions.
Strong executive presence, communication, and discretion when handling confidential material such as earnings and Board content.
Excellent organization, prioritization, problem‑solving, and multitasking skills.
Ability and flexibility to travel for business as required
Desired Characteristics:
Experience supporting earnings calls, Board meetings, or other regulated/disclosure‑sensitive events.
Strong relationship‑building skills with executive stakeholders, event planners, and their support teams.
Broad familiarity with Microsoft 365 services and modern collaboration ecosystems.
Understanding of enterprise security practices (secure remote access, device compliance, identity/access basics).
Vendor and production partner management experience, including onsite and destination event delivery.
High adaptability and comfort with emerging technology; strong sense of ownership, urgency, and customer‑centricity.
Grade/Level: 11
