POSITION SUMMARY
Serve as Executive Assistant to the Chief Credit Officer (CCO), providing administrative support in handling day-to-day credit operations and loan-related servicing matters as needed. Function in an Administrative Officer capacity, including external communications, calendar management, and coordination of various committees attended and facilitated by the CCO.
Act as Secretary to Bank’s Senior Loan Committee and records notes for other committees and meetings facilitated by the CCO. Perform various credit operations functions related to the overall asset quality of the Bank.

PRIMARY DUTIES AND RESPONSIBILITIES
ASSISTANT TO CCO
- Place and receive calls for the CCO and schedule all appointments in a polite and professional manner; keep the CEO informed of appointments, and in his absence, act on most administrative matters as appropriate.
- Compose, prepare, and proofread letters, memoranda, and reports for the CCO.
- Receive visitors, determine the nature of their business, arrange appointments, and/or refer them to appropriate Bank personnel.
- Arrange meetings, luncheons, dinners, and other activities as directed by the CCO.
- Receive, review, and sort incoming mail, acting on routine matters as appropriate.
- Establish and maintain files and records as needed.
- Make hotel and travel arrangement and coordinate other outside activities for the CCO.
- Assist CCO in resolving loan-related servicing issues, both internal and external. Serve as the initial point of contact; determine if issues can be resolved immediately or require further research, input, or discussion with the CCO; and track matters appropriately through completion.
- Maintain a strong knowledge of the Bank’s organizational structure to identify appropriate resources to support the CCO.
- Prepare loan data for the Bank’s quarterly Call Report and submit the data to Financial Accounting Department.
- Monitor the Bank’s credit policies, including maintaining a tickler system for policies requiring approval.
- Perform other duties as directed by the CCO.
EXAM & OTHER 3RD PARTY ADMINISTRATION
- Serve as Exam Coordinator for all loan-related items during examinations by regulatory agencies, including distributing requests to lenders and loan operations personnel and collecting requested loan-related information.
- Assist the CCO in preparing and collecting loan-related examination materials for submission to Bank examiners and auditors.
CREDIT OPERATIONS RESPONSIBILITIES
- Verify and process payoff amounts related to non-accruals and loans with partial charge-offs.
- Research and resolve loan issues that rise to the CCO’s attention. Resolution may require interaction with clients and appropriate Bank personnel.
- Research and respond to client billing questions by reviewing loan payment records and payments for attorney letters utilizing loan histories, reports, and other necessary materials.
- Research and balance general ledger accounts maintained by Credit Administration related to OREO, charge-offs, non-accruals, and repo assets.
- Maintain and complete reports for the Board of Directors with assistance from the CCO and the Credit Services Officer.
- Maintain watchlist, charge-offs, non-accrual, and OREO reports for the CCO.
- Assist lenders and collect information from the lenders regarding past-due accounts; correspond with attorneys regarding collection letters.
- Prepare and process Senior Loan Committee minutes; serve as Secretary to this committee.
- Process judgments and collections as requested by the CCO.
- Process debits and credits related to bankruptcy checks and release fees.
- Distribute monthly loan-related reports to appropriate internal personnel.
- Perform other duties as directed by the CCO.
REQUIRED EXPERIENCE, SKILLS AND KNOWLEDGE
EDUCATION AND/OR EXPERIENCE
- High school diploma or equivalent required.
- Associate’s degree in a business or accounting-related field, or an equivalent combination of related education and work experience preferred.
- Prior experience in a community banking environment preferred.
SKILLS/SPECIALIZED KNOWLEDGE
- Three years of prior credit operations experience related to specific job functions, including commercial transactions is required. Prior accounting experience is preferred.
- Excellent interpersonal, communication, and client service skills to effectively deal with internal and external vendors/clients.
- Strong organizational skills with the ability to prioritize workload and work effectively with minimal supervision.
- Advanced proficiency with Microsoft Office applications, including Outlook, Word, and Excel, as well as other database and system applications. Strong keyboarding and 10-key skills required.
- Ability to identify and resolve practical problems within established processes and procedures with minimal supervision.
- Thorough understanding of the loan process and related products, including lending terminology and applicable documentation relevant to the position.
- Ability to work effectively in a deadline-driven environment, manage multiple assignments simultaneously, and respond promptly to time-sensitive matters.Ability to read, comprehend, and follow established instructions and procedures.

Must be regularly available and willing to work at such hours per day or week as the Bank determines are necessary or desirable to meet its business needs. Must be available and willing to work such weekends and holidays if the employer determines that it is necessary to do so in order to meet its business needs.
- Travel: Must be available and willing to travel to such locations and with such frequency as the Bank determines is necessary or desirable to meet its business needs.
- Regulatory Compliance: Be knowledgeable and comply with all regulations, policies and procedures relating to the Bank Secrecy Act, Anti-Money Laundering, USA Patriot Act, Privacy Act and how to recognize and report suspicious activity. Failure to comply with all components of these Acts could result in personal, civil money penalties and/or criminal prosecution.
- Civic Activities: Participate in civic activities to assist in growing the local community, while enhancing the visibility of the Bank.
