PRIMARY FUNCTION:
Responsible for administrative duties related to Volunteer Services including recruiting, placing, training, and recognizing volunteers. This position works across hospital departments and the health care continuum to provide ChristianaCare with volunteers who enhance the service of its staff and positively impact the provision of an exceptional experience. In addition, as a member of the Volunteer Services Team, this role is responsible for the administrative duties related to the Patient Family Advisory Councils throughout ChristianaCare.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Responsible for onboarding all new volunteers include recruiting, interviewing, placing, and training. Coordinates volunteer orientation, training, interview sessions, and recognition events.
Responsible for administrative duties related to Patient Family Advisory Councils including coordinating interviews, meeting rooms, ordering food, communicating agendas created by the manager and director to PFAC membership, and creating meeting minutes.
Review, update, and maintain volunteer assignment descriptions and maintain records of service.
Provide volunteers with opportunities for skill development and personal growth through training and continuing education programs.
Support the written policies and procedures for Volunteer Services. Maintain departmental practices in accordance with Joint Commission practices and standards.
Support the Manager and Director in implementing new programs and activities to meet the needs of ChristianaCare and the community.
Offer assistance and support to departments to ensure appropriate, successful volunteer support.
Support the recruitment of volunteers from all segments of the community to contribute effectively to ChristianaCare’s programs and to support patients, families, and staff. Maintain the high standards and integrity of the volunteer programs and ensure that recruiting policies and practices are non-discriminatory regarding age, race, sex, and disability.
Represent ChristianaCare and Volunteer Services in various community activities.
Participate in professional organizations in volunteer management.
Demonstrate an understanding and application of the ChristianaCare Values—Excellence and Love.
Demonstrate effective communication skills.
Assist in the day-to-day operational management of the Volunteer Services office.
Assist with the departmental reports which include but are not limited to creating, maintaining, and distributing monthly reports.
Assist with financial management which includes but is not limited to processing invoices and check requests, travel preparation, and purchasing, and budget tracking.
Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
Performs other related duties as required.
SCOPE, PURPOSE, AND FREQUENCY OF CONTACTS:
Must cross department lines and work with all members of the health care team and various levels of management. Frequent contact with the general public and Volunteer Services team. Some contact with patients, families and visitors.
DIRECTION/SUPERVISION OF OTHERS:
Supervise activities and projects of the office volunteers. Be available in person if the volunteers have questions and/or challenges that need to be addressed.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
Associate’s degree or high school diploma required. Bachelor’s Degree preferred.
Knowledge of the field of volunteer management is preferred.
2-4 years of administrative and customer service experience is required. Experience in hospitality is strongly preferred.
Strong computer technology skills are essential for performing this position effectively.
KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:
Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
Ability to work independently within a defined scope of authority as well as function as a member of a team.
Knowledge of human resource management, with emphasis on the effective human relations element.
Skill in administration, program planning and fiscal management.
Skill in interviewing techniques.
Skill in oral and written communication.
Ability to integrate volunteers into services that are satisfying and productive.
Ability to handle difficult, confidential, and urgent matters with sound judgment.
Ability to formulate accurate reports and statistics.
Ability to analyze data reports and make recommendations.
Ability to motivate and generate enthusiasm.
Ability to be empathetic and effective with persons of diverse cultures.
Knowledge of active teaching techniques.

WORKING CONDITIONS:
Normal office environment. In person work required. Visiting patient care areas is required. Travel to other ChristianaCare sites and outside locations is required.
Hourly Pay Range: $21.45 - $32.17This pay rate/range represents ChristianaCare’s good faith and reasonable estimate of compensation at the time of posting.
