Logistics Coordinator – Rotterdam
Must be based in Rotterdam with EU Citizenship
Salary is around €1500 - €3200
About the Role
Our client, an international logistics and supply chain business, is seeking a detail-oriented and proactive Logistics Coordinator to join their operations team in Rotterdam, Netherlands.
The successful individual must be based in Netherlands.
This role is responsible for coordinating the end-to-end release and movement of import containers, ensuring operational deadlines are met, maintaining accurate shipment documentation, and delivering exceptional customer service to clients, shipping lines, and logistics partners.
The successful candidate will thrive in a fast-paced international logistics environment, possess excellent organisational skills, and have a strong understanding of ocean freight import operations.
Key Responsibilities
Shipment Coordination & Operations
- Monitor the ETA of all import shipments and communicate schedule changes to relevant stakeholders.
- Coordinate the booking and release of import containers.
- Request and manage container releases with shipping lines.
- Execute secure cargo releases through Portbase PCS.
- Build and maintain shipment records within internal systems.
- Verify booking references and ensure shipment documentation is complete and accurate.
- Participate in daily operational meetings and collaborate closely with commercial teams.
Client & Stakeholder Communication
- Send and monitor arrival notices to consignees and notify parties.
- Liaise daily with shipping lines, clients, agents and service providers to ensure operational commitments are achieved.
- Communicate delays, inspections, operational challenges and other exceptions promptly.
- Respond to operational queries and escalate issues where appropriate.
- Maintain accurate client contact information and operational records.
Documentation & Compliance
- Ensure all shipping documentation is received, processed and submitted within required deadlines.
- Submit documentation to shipping lines and relevant EU and UK authorities when required.
- Ensure company procedures and compliance processes are followed at all times.
- Maintain accurate shipment records and operational documentation.
Financial Administration
- Complete shipment control sheets for invoicing.
- Verify and capture additional operational costs for billing.
- Ensure landside rate sheets remain accurate and up to date.
- Monitor payment status prior to cargo release.
- Follow up with clients and agents to ensure funds have cleared before cargo is released.
- Submit payment remittances to the Collections team.
Claims & Operational Deviations
- Record and communicate shipment deviations.
- Process intent-to-claim documentation promptly.
- Coordinate joint surveys where required.
- Ensure all claims documentation is complete and submitted within required timelines.
Minimum Requirements
- 2–5 years' experience in an ocean freight, import, shipping or freight forwarding environment.
- Experience coordinating import container movements and cargo releases.
- Good understanding of ocean freight documentation and shipping processes.
- Experience working with shipping lines, freight forwarders, consignees and logistics service providers.
- Strong administrative skills with exceptional attention to detail.
- Excellent communication and customer service skills.
- Ability to prioritise multiple shipments while working under strict deadlines.
- Proficiency in Microsoft Office, particularly Excel.
- Experience with logistics or ERP systems such as Navision, Microsoft Dynamics NAV or similar will be advantageous.
- Experience with Portbase PCS or similar Port Community Systems will be highly advantageous.
