Job Summary
The Executive Support Coordinator, CEO Office, provides critical administrative support to the CEO’s Executive Assistant while gaining exposure to executive level operations and senior leadership engagement. The role is designed for a high performing administrative professional with strong potential for growth within executive support roles.Position Overview
Key Responsibilities
- Support calendar coordination, scheduling, and logistics for the CEO’s office
- Serve as point of contact for internal and external stakeholders, including out-of-town ELT members, when visiting corporate headquarters
- Assist with travel coordination, expenses, event ticket administration and routine internal administrative workflows
- Prepare and organize meeting materials, agendas, briefing documents and follow-up items for CEO office meetings
- Ensure accuracy and professionalism in all CEO and ELT related communications
- Monitor incoming requests and help prioritize time sensitive action items requiring the Executive Assistant’s attention
- Develop strong working relationships with executive and administrative teams
- Serve as backup administrative support during peak periods and vacation coverage
- Maintain a high level of discretion and professionalism when handling confidential or sensitive business matters.
- Perform additional duties and special projects as assigned

Basic Requirements:
- Legally authorized to work in the United States
- 3 or more years of experience in administrative or executive support roles
- Intermediate level of proficiency with Microsoft Outlook, Teams, Word, Excel and PowerPoint and advancing technologies
- Proven scheduling, planning and travel logistics experience
- Experience coordinating executive meetings, events, and visitor logistics
- Ability to manage multiple priorities in a fast-paced, high visibility environment
- Ability to handle sensitive information with absolute discretion
Preferred Requirements
- Associate or bachelor’s degree
- 5 or more years of administrative support experience
- Experience supporting senior leaders, executive assistants, or executive teams
- Strong written communication, proofreading, and presentation support skills
- Ability to build effective working relationships across all levels of the organization
- Demonstrated ability to work independently with limited direction
- Strong attention to detail and follow‑through
- Clear communicator with strong professionalism and interpersonal skills
- Critical thinker with a demonstrated history of solving problems, analyzing challenges and making sound decisions
