Description
This position is responsible for providing customer service, administrative, and departmental support for the Utilities Department.
· Answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; responds to complaints and requests for service; maintains records to ensure effective response.
· Dispatches maintenance crews in response to service requests; relays information to work crews in the field.
· Maintains department files and records.
· Prepares work orders using Hiperweb software in support of customer account adjustments.
· Records road cuts and sidewalk installations.
· Disseminates weekly standby schedule.
· Records new meters sold.
· Reconciles Bank of America transactions for 3 divisions.
· Enters GA811 Locate requests.
· Creates compliance trainings for Utilities department.
· Coordinates the Star Employee Program
· Creates content for Utilities Newsletter
· Assists with coordinating Utilities Community Outreach program events.
· Disseminates weekly maintenance schedules in the absence of the Senior Support Specialist.
· Enters purchase requisitions.
· Prepares letter, memoranda, and other correspondence.
· Performs customer satisfaction surveys.
· Creates information postings for department events using Canva software
· Submits data for monthly reports.
· Processes hydrant rentals and Environmental Truck Inspection invoices.
· Updates department’s webpage.
· Performs related duties.
Requirements
· Knowledge of modern office practices and procedures.
· Knowledge of city and departmental policies and procedures.
· Knowledge of computers and job-related software programs.
· Knowledge of customer service principles.
· Knowledge of basic accounting practices.
· Knowledge in prioritizing and organizing work.
· Knowledge in oral and written communication.
· Skill in the provision of customer services.
· Skill in the maintenance of files and records.
· Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
· Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
· Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
