JOB TITLE: Front Desk Constituent Care Specialist
TEAM: Finance
REPORTS TO: Accounting Manager
JOB STATUS: Full Time (Mon-Fri 7:30AM – 4:30PM)

OVERVIEW

The Front Desk Constituent Care Specialist role is responsible for providing welcoming and professional first point of contact for visitors, constituents, and staff. This role involves answering telephone calls, greeting visitors, handling inquiries, and providing administrative support to OM employees to ensure smooth day-to-day office operations.

HIGH LEVEL OBJECTIVES:
  • Respond to incoming calls on the main telephone lines, route callers as appropriate, and manage voicemail communications. Review information account emails and accurately enter constituent inquiries into the Constituent Care Ticketing System (CCTS), ensuring proper assignment and follow-up.
  • Serve as a resource for donors, providing timely assistance, answering questions, and facilitating the resolution of issues to support donor engagement and satisfaction.

MAJOR RESPONSIBILITIES:
  • Provide support to all departments by directing calls to the appropriate end user and enter email inquiries from the information account into the constituent care ticketing system.
  • Continued contact with donors, and OMers both foreign and domestic
  • Assist with preparing documents, reports, and correspondence when or where required.
  • Ability to maximize time to coordinate schedule with deadlines regarding invoice processing for assigned department.

FOCUSED RESPONSIBILITIES:
  • Open and secure lobby and main entrance areas at the beginning and end of the business day.
  • Greeting visitors, enter the front lobby area and provide escort and assistance or other assistance as needed. Instruct visitors on methods for signing in and out of provided computers. 
  • Answer and direct calls from main telephone lines. Review voice mail messages and enter tickets when appropriate.
  • Maintain a clean, organized, and presentable reception area.
  • Assist the Accounting Manager with any task assigned.


TEAM PARTICIPATION:

Each team member is expected to participate in the team life activities of OM, including:

     •      Virtually joining team events that focus on prayer, fellowship, training and development.
     •      Task Forces or Working Groups that facilitate cross-department collaboration.
     •      Modeling the culture of OM USA.
     •      This position requires 4 days’ physical presence in the Tyrone office.

CREDENTIALS/REQUIRED EDUCATION:

     •      Functional in Microsoft Office.
     •      High School Diploma/GED Equivalent.
     •      Minimum of one year of customer service experience.

OTHER DUTIES:

     •      Perform or assist with any assignments as required or directed.
     •      This position may require some lifting, up to 15lbs.
