ESSENTIAL FUNCTIONS
Job Function & Responsibilities
• Prepare and maintain new hire orientation materials in the HRIS system and ensure all documents such as pre-hire documents, executed policies, legal and required documentation are complete and maintained in the HRIS system and personnel file.
• Responsible for set up and maintenance of HR files shared drive folders.
• Maintains changes to current processes with established policies and procedures.
• Partners with Talent and Training on New Hire Orientation materials or assistance.
• Coordinate with IT and Facilities to ensure delivery of new hire and termination equipment return.
• Manage and maintain I-9 records, EEO, Workers Compensation reporting and files.
• Approve and update employee self service requests and organization changes in the HRIS system i.e., W-4, Address, Emergency Contact, Marital Status, Direct Deposit, Manager, pay and title changes, etc.
• Document payroll changes for bi-weekly payroll such as wage garnishments, changes in pay, etc.
• Serves as backup to Payroll for processing of verifications of employment.
• Process and maintain all background screenings in accordance with GCHP policies and procedures.
• Maintain database for Government Sanctions watchlist.
• Facilitate off-boarding process by ensuring termination packets are prepared as required, coordinating final pay with the payroll department.
• Facilitates scheduling termination exit meetings and required documents for HRBP’s, along with notifications to appropriate staff.
• Assist employees with general HR and Benefit questions.
• Lead tuition assistance program approval and reimbursement process with managers and payroll.
• Partner with Director with processing and responses to unemployment, workers comp and legal claims.
• Partners with Director with maintenance of compensation program updates, revisions, postings and out of state relocation and compensation letters.
• Partners with Director on maintenance, revisions and updates for all policy updates in Navex (PolicyTech
for current and creation of new HR policies in accordance with all state, local and federal guidelines, which includes partnering with HR Architect on HRIS system updates.
• Maintains GCHP emergency response system - Send Word Now that includes onboarding/offboarding of staff which includes data entry, correspondence and troubleshooting system access.
• Assist HR Architect with updating and maintaining performance, compensation and bonus programs in the HRIS system.
• Partner with Director for yearly benefits renewals, enhancements and health fairs.
• Assist management and/or HRBP’s for updating job descriptions.
• Acts as liaison between HRBP’s, Talent and Recruitment related to operations activities.
• Serves as back up for Recruitment Coordinator, Talent Acquisition Lead for Multiview, onboarding, candidate updates and HRIS system administration.
• Miscellaneous projects and tasks assigned by the Director.
Process Improvement & Compliance
• Identify gaps and provide recommendations and solutions for process improvement to streamline current systems and contribute to process enhancement to build efficiency.
• Assist HR Operations Manager with annual compliance reporting such as EEO-1 and ACA, annual payroll and compliance audits, policy creation/updates.
• Assist HR Operations Manager with updates on new legislation for updating current processes and/or policies to meet all state and federal guidelines.
• Assist HR Operations Manager with proofreading and updating of GCHP policies in PolicyTech.
MINIMUM QUALIFICATIONS
Education & Experience:
• High School Diploma or GED
• 5 years of Human Resources experience
• 3+ years of experience in Benefits and Payroll
KNOWLEDGE, SKILLS & ABILITIES
Preferred Qualifications:
• Bachelor’s Degree: In fields such as Business, Psychology and Human Resources
• Equivalent In lieu of degree: Will accept experience in any combination of academic education, professional training, or work experience, which demonstrates the ability to perform the duties of the position.
• PHR or HRIS Certification
• Healthcare or Public setting
• 3 plus years’ experience in ADP, Workday, Paylocity or similar HRIS platforms
• Maintain confidentiality with sensitive information, documents, e-mails regarding employee relations issues, inquiries, complaints, leaves of absences and accommodations.
• Ability to work with multiple projects and departments.
• Ability to work cross-culturally in a diverse environment.

Certifications & Licenses:
• A valid and current Driver's License, Auto Insurance, and professional licensure(s)
• PHR or HRIS Certification (preferred)

The estimated pay range for the position is:
$100,000.00 - $150,000.00The pay range above represents the minimum and maximum rate for this position in California. Factors that may be used to determine where newly hired employees will be placed in the pay range include the employee specific skills and qualifications, relevant years of experience and comparison to other employees already in this role. Most often, a newly hired employee will be placed below the midpoint of the range. Salary range will vary for remote positions outside of California and future increases will be based on the pay band for the city and state you reside in.
