Position Overview
We are seeking a detail oriented and hospitality minded Front Office Coordinator to manage the daily flow of the clinic and ensure a seamless experience for both clients and providers.
Key Responsibilities
Front Desk & Client Experience
- Serve as the first and last touchpoint of the client experience, creating a warm, polished, hospitality-focused environment from arrival through departure
- Greet and check in clients with professionalism, warmth, and attention to detail
- Manage the full scheduling process, including booking, confirmations, rescheduling, and cancellations
- Oversee client flow, room assignments, and provider scheduling support to keep the clinic running smoothly and on time
- Anticipate client needs and proactively address questions, comfort, and logistical details throughout their visit
- Handle payments and front desk transactions accurately and professionally
- Keep the front office clean, organized, polished, and consistently presentation-ready
Administrative & Records
- Maintain accurate and complete client records within the EMR system
- Support client onboarding by collecting and organizing all required documentation
- Maintain organized client tracking and follow-up systems to ensure nothing falls through the cracks
- Manage OHP inventory, monitor stock levels, and maintain accurate counts
- Coordinate shipping and fulfillment, ensuring orders are processed, packed, and sent accurately and on time
Communication & Team Coordination
- Respond to client inquiries promptly with clear, helpful, and professional communication
- Recognize when conversations require clinical, consultative, or operational support and escalate appropriately
- Serve as a central point of coordination between clients, providers, and operations to ensure seamless communication and a smooth experience from check-in through checkout
Required Qualifications
- Strong experience in front desk, administrative, or client facing roles
- Genuine interest in longevity and cellular medicine, and enthusiasm for the work we do at Boulder Longevity Institute
- Excellent organizational and multitasking skills
- Strong verbal communication skills over the phone and in person
- High attention to detail, especially with scheduling and documentation
- Ability to manage a fastpaced, hightouch office environment
- Must be able to work on-site in Boulder
- Strong understanding of confidentiality and discretion, with a commitment to upholding healthcare privacy standards
Preferred
- Experience in medical office operations, concierge services, patient coordination, hospitality, or other high-touch client service environments is a plus.
- Familiarity with EMR systems, CRM tools, or scheduling platforms
- Background in healthcare or wellness environments
