Job Duties:

Key Job Responsibilities:

  • May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
  • Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures

Job Responsibilities:

Leadership, Supervision, & Management

  • Oversee major functions of the admissions operations unit, including the rendering of admissions decisions, determining student residency, and maintaining records
  • Supervise professional, student, and limited-term staff engaged in application review
  • Responsible for onboarding, training, motivating, and evaluating staff
  • Approve, schedule, and monitor leave, and ensure there is adequate staff coverage to meet workflow needs
  • Communicate university initiatives and enrollment management strategies
  • Participate in planning and execution of ongoing training and professional development opportunities for staff to create a high-performing, goal-oriented, and student-centered application review team
  • Maintain the highest expectation of customer service, including communicating effectively and courteously to manage escalated situations
  • Establish priorities for managing workload at different stages of the admissions cycle

Admissions & Residency Review

  • Perform application and residency review, assist in troubleshooting challenging situations, and serve as a resource when additional review support is necessary
  • Complete holistic review of application files and make admissions decisions for students not directly admissible
  • Be familiar with all processing activities, including receiving and analyzing incoming applications and documents, entering application data, determining appropriate action for application files, maintaining records, and disseminating information concerning applications in progress
  • Develop, implement, monitor, and assess application review activities carried out by staff
  • In conjunction with Admissions Operations staff, develop and update instructional documents for application and residency review

Admissions Operations

  • Serve as a member of and work collaboratively with the operations leadership team
  • Use knowledge and analysis of business processes and needs in the department to work closely with other key departments, such as Registrar’s Office, IT Services, or CIE technical staff to investigate, develop, and implement process improvements
  • Manage error reports and oversee the correction of Central Data Requests for the department, and carry out necessary training of staff
  • Serve as the primary backup to the Assistant Director of Admissions when necessary
  • Coordinate, carry out, or assist with special projects and activities as assigned. Such projects may include, but are not limited to, researching and preparing statistical admissions-related reports relevant to campus enrollment initiatives, providing cross-training, and composing special correspondence in response to inquiries regarding applications

Miscellaneous Duties

  • Participate in university and system-wide meetings, workshops, and professional development opportunities as appropriate
  • Maintain active membership and participation in statewide organizations such as WACRAO
  • Represent the operations unit on campus and system-wide committees and ac on teams
  • Foster a positive and collaborative work environment that emphasizes personal and professional growth
  • Carry out miscellaneous duties and responsibilities as assigned
     

Minimum Qualifications

  • Bachelor’s Degree (granted by date of hire). While the major field is not critical, majors in social work, student personnel, business, guidance, and counseling-related fields would provide a strong background for this position
  • Experience in a higher education setting
  • Experience supervising staff


 

Preferred Qualifications

  • Master’s Degree or an equivalent advanced degree
  • Experience in a college/ university admissions office
  • Experience working with client relation management systems or other student communication or tracking systems, such as Slate
  • Evidence of excellent verbal and written communication skills, as evidenced by application materials and interviews
  • Evidence of strong analytical skills
     


Target Salary Range

$57,000 - $60,000
(Final salary offer will be determined based on qualifications and experience)
