Position Purpose:

Evaluates problems and recommends solutions or improvements autonomously to ensure the continual operation of complex building systems and structures, sophisticated equipment, and to minimize repercussions on personnel, buildings, and equipment in dynamic situations. Acts independently as on-site faculty representative to ensure that the laboratories and surrounding physical environment is well maintained, and in compliance with university policies. Limits research downtime and accidents related to research equipment and environments through planning and consultation with Facilities and the immediate supervisor.

Collaborates with the immediate supervisor, researchers, health and safety and technical staff in reviewing conditions of the workplace that is dispersed among multiple sites varying from office spaces to complex and cross-disciplinary research environments. Assesses feasibility with research and teaching staff in planning the placement of, and manages the relocation and decommissioning activities of, sophisticated scientific equipment and products.

Collaborates with the immediate supervisor and team members in the design and optimization of new spaces through construction or renovation projects for complex scientific equipment and safety infrastructure. Enforces safe shutdown requirements of research equipment and sites with Facilities.

Ensures that fixed facilities, equipment and workplace environment are safe, functional and conducive to the research, teaching and support mandate of the faculty. Ensures corrective actions are initiated and implemented as requested.

 

Specific Accountabilities:

  • Assesses the physical environment of multiple buildings housing the Faculty of Medicine, with the majority of the space comprised of complex scientific equipment and research facilities. Evaluates the conditions and deficiencies and follows up on subsequent remedial activities to address noted deficiencies.
  • Institutes corrective measures to repair deficiencies in research laboratories, teaching spaces, common areas, and administration spaces. Follows up on these corrective measures to ensure quality of remediation and timeliness of response.
  • Meets the immediate supervisor on a regular basis to plan workload, generate solutions through collaborative discussions and determine resources needed to address facility concerns.
  • Assesses the day-to-day operational needs as required with regards to the complex and integrated physical environment and sophisticated scientific equipment and supporting infrastructure.
  • Prioritizes activities independently when faced with emerging problems over multiple locations and varying degrees of severity.
  • Works directly with Facilities personnel and contractors on a variety of facility issues to ensure a safe, expedient, and proper response to maintenance needs and equipment shutdown requirements.
  • Plans operations to mitigate and/or decrease down time for infrastructural services and systems on complex and multidisciplinary research equipment. These services and systems may include HVAC, plumbing, electrical, specialty building systems for research, building envelopes or structures, room finishes and lighting.
  • Performs various inspections on a regular basis to identify problems and recommends solutions to ensure the continual operation of complex building systems and structures, sophisticated equipment, and to minimize repercussions on research, teaching, personnel, buildings, and equipment.
  • Leads the relocation of personnel, furniture, and research equipment and infrastructure. Includes coordinating and acting on the decommissioning and dismantling of this research equipment and infrastructure. Follows up on the resultant work to resolve all deficiencies.
  • Provides expertise and insight with regards to new equipment purchases, laboratory renovations and design elements in new space environments.
  • Directs queries and work requests to services that support the faculty operations including Protection Services, Computing and Communication Services, Facilities and Faculty of Medicine Health and Safety team.
  • Works closely with the Faculty Health and Safety team (HSRMs) to ensure compliance with existing legislation and industry safety norms. Provides information to the HSRMs as it relates to equipment, relocations and processes within the faculty.
  • Provides direction and support with regards to the various events held by the faculty. Supervises Transport Services and Housekeeping Services to ensure adequate and timely support.
  • Assesses signage requirements in each building, including wayfinding, life safety, office and laboratory signage to ensure compliance with university policies.
  • Attends meetings and discussions as directed by the immediate supervisor to ensure faculty representation and concerns are delivered.

 

Knowledge, Experience and Skills

  • Diploma or degree in a three- or four-year program in building or architectural technology, or an equivalent combination of education and experience, and strong knowledge base in building systems (HVAC, controls, service distribution, fume hoods, mechanical and electrical systems) and state-of-the-art practices in building design as integrated with complex scientific equipment in a research-intensive institution.
  • Minimum of five (5) years’ experience in building management practices especially related to a scientific research and teaching environment.
  • Solid background and broad knowledge-base in research laboratory equipment (by example, but not limited to, mass spectrometers, lasers, biological safety cabinets, tissue and cell culture spaces, fume hoods, imaging, cytometry, proteomics, microscopy).
  • Familiarity with construction, electrical and mechanical trades with a strong knowledge base of technical and architectural drawings especially as it pertains to biological, physical and chemical laboratories.
  • Strong knowledge of federal and provincial legislation related to workplace health and safety, WHMIS, environmental legislation, Fire and Building codes, University policies and other related legislation on working with and in hazardous environments.
  • Good communication, organizational and interpersonal skills. Ability to prioritize tasks to ensure continuity of services affecting research and teaching activities.
  • Ability to function at a high level of expertise under time constraints and deliver concise instructions as required in difficult conditions.
  • Experience working in a large organization similar in size to Ottawa University, and the ability to negotiate and balance the requirements of a wide variety of groups and interests.
  • Ability to update and create drawings with Autocad version 2024.
  • Bilingualism (English, French), both written and spoken.
