Description
The Client Partner (Family Office) serves as the primary client service contact for the firm’s Custom and Single-Family Office relationships. The role provides comprehensive oversight of operational support and coordinates a broad range of family office services, working closely with internal teams and external professional partners to ensure seamless execution across each client relationship. The Client Partner demonstrates exceptional ownership, judgment, and accountability while delivering highly responsive, customized service.
CORE RESPONSIBILITIES
Client Relationship Management
• Serve as the primary point of contact for client service needs, operational requests, and technical support.
• Facilitate and positively influence the overall client experience through timely communication and problem resolution.
• Manage client inquiries and coordinate solutions across multiple service providers.
• Lead client projects from initial planning through execution, coordinating stakeholders, tracking progress, resolving issues, and ensuring successful completion.
• Manage multiple concurrent priorities while ensuring timely execution of client requests and special initiatives.
Family Office Service Offering Coordination
• Coordinate a broad range of financial services, including operational support, banking, bill pay, reporting, and risk-management related requests.
• Coordinate bespoke concierge and lifestyle-management services for single-family office clients, including private travel, property oversight, art collection management, and other specialized needs requiring discretion, responsiveness, and close coordination with external providers.
• Serve as a liaison to coordinate activities between clients, vendors, financial institutions, accountants, attorneys, trustees, insurance providers, bankers, property managers, and other service providers.
• Partner with Advisors and client service teams to lead special client initiatives, coordinate execution across stakeholders, and deliver solutions tailored to each family’s needs.
Alternative Investment Support
• Support the administration of alternative investments, including capital calls, distributions, and related documentation.
• Maintain accurate alternative investment records and provide timely updates to clients and internal stakeholders regarding capital calls, distributions, documentation, and related activity.
Meeting Support & Service Delivery
• Coordinate client meetings, prepare and organize materials, confirm required participants and deliverables, and track follow-up items through completion.
• Maintain client information within CRM and reporting systems.
• Ensure all client service activities and documentation adhere to applicable compliance requirements, regulatory obligations, and firm standards.
Tax & Financial Administration
• Coordinate quarterly estimated tax payments by confirming requirements, gathering necessary information, and facilitating timely execution with clients and their tax professionals.
• Assist in the collection and organization of tax documentation supporting tax return preparation and related planning activities.
Operational Excellence
• Support office operations and workflow efficiency.
• Identify opportunities to improve workflows, strengthen controls, and establish consistent best practices that enhance service quality and operational efficiency.
• Complete additional projects and responsibilities as assigned.
Requirements
• Bachelor’s degree in business, finance, accounting, economics, or a related field.
• Demonstrated experience supporting ultra-high-net-worth families and coordinating complex financial, administrative, and lifestyle-management needs.
• Proven ability to coordinate effectively with advisors, custodians, accountants, attorneys, trustees, and other external service providers.
• Proficiency with CRM, portfolio reporting, document-management, and Microsoft Office applications.
• Exceptional communication, organization, and problem-solving skills, with the ability to manage multiple priorities in a high-touch client environment.
• Sound judgment and a demonstrated commitment to confidentiality, discretion, responsiveness, and client service excellence.
• Relevant professional certification or advanced degree is a plus.
