This is an opportunity to join a dynamic, collegial advancement team at Yale Divinity School. The Development Program Coordinator provides high-level support to the Senior Director of Alumni Engagement and Senior Associate Director of Major Gifts. In addition, the Development Program Coordinator works directly with the directors and dean to support the Dean’s Advisory Council and the newly established Dean’s Emeriti Circle, the Divinity School’s volunteer leadership groups, including meeting schedules, logistics, and communications. As an integral member of the team, this position coordinates high-level special events across the country, including donor-hosted events and celebrations of special initiatives, manages major donor personalized/specialized stewardship functions to ensure that leadership donors receive ongoing communication regarding the benefits of their gifts to Yale Divinity School and plans and coordinates donor recognition events.
Essential Duties
Manage the director’s calendar and coordination of the dean’s calendar for securing donor and prospect meetings.
Prioritize director’s workflow.
Coordinates travel and itineraries for the Senior Director and Senior Associate Director of Major Gifts. Donor meeting preparation and follow-up for the major gifts staff, including tracking of prospect notes and next steps in CRM, drafting a wide variety of written materials, including comprehensive individual prospect briefings and gift proposals.
Undertake preliminary research on individuals, foundations and institutions using office files, donor databases and internet search engines and resources; investigating the history, status and accuracy of recorded gift commitments and gift acknowledgments as needed by gift officers ensuring the accuracy of information communicated.
Interacts with donors at the request of directors and/or other colleagues in response to inquiries and proactively serves as the primary point of contact for high-level prospects and serves as a key contact on questions relating to various departmental needs.
Coordinate meetings of and events for the Dean’s Advisory Council and Dean’s Emeriti Circle including regular communication to the full membership as well as task forces, drafting correspondence from the dean. Maintains DAC and DEC membership, meeting, attendance, and follow-up records.
Create copy and design fundraising materials.
Coordinates logistics and program materials for major-gift cultivation, recognition, and stewardship events led by the Senior Director or major-gift staff.
Drafts invitation and confirmation cards, compiles and maintains lists using complex queries, extends invitations, confirms attendance, ensures attendance accuracy, prepares biographies and talking points for guest speakers and drafts event flow documents.
Generate donor story ideas for YDS newsletters and publications.
Required Skills and Abilities
1. The ideal candidate is flexible and adaptable to a fast-paced environment.
2. Detail-oriented, highly collaborative, proactive, a resourceful problem solver, and has good judgement. Demonstrated experience in an administrative support role required.
3. Ability to work independently, effectively, and efficiently, and can manage multiple projects simultaneously.
4. Strong written and verbal communication skills; high emotional intelligence; ability to build positive relationships and establish strong rapport quickly with top-level donors and senior administrators. Highly proficient in Microsoft Office (Outlook, Excel, Word).
5. Appreciation and respect for principles of diversity, equity, and inclusion.
Preferred Skills and Abilities
1. Proven experience working with a CRM database preferred.
2. 4-6 years professional experience; non-profit preferred.
3. Bachelor’s degree preferred.
Principal Responsibilities
1. Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2. Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts. 3. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission. 4. Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases. 5. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 6. Oversees, instructs, and coordinates activities of support staff. 7. Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned. Required Education and Experience Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.Job Posting Date
