Description
The Youth and Countywide Sports Division (YCSD) is seeking a Seasonal Administrative Assistant (Part-Time) to provide clerical and administrative support to division staff. This position is ideal for an organized, detail-oriented individual looking to gain hands-on administrative experience in a fast-paced public service environment.
The Seasonal Administrative Assistant will support daily office operations, assist with data entry and recordkeeping, and provide customer service support by responding to routine inquiries regarding division programs, sports activities, and services. This role plays an important part in ensuring accurate records, efficient workflows, and professional communication within the division, while providing administrative support for the Prince George’s County Boys and Girls Club sports activities and other division programs.

- Create, update, and maintain electronic and paper filing systems
- Answer voicemails inquiries regarding sports programs, clinics, and activities and route appropriately.
- Maintain organized records, logs, and administrative files.
- Create and update spreadsheets using Microsoft Excel.
- Assist with document preparation, copying, scanning, and distribution
- Maintain confidentiality of sensitive information of participant information.
- Provide general program information, including schedules, registration requirements, and deadlines.
- Assist with processing memberships and verifying participant information.
- Assist with roster and ID checks during peak sports seasons.
- Assist with maintaining and updating participant and program records in Sports Engine.
- Assist with preparing receipts, schedules, bulletins, forms, and other program materials.
- Assist with organizing and preparing materials and supplies for seasonal sports programs.
- Support the Administrative team with special projects, research, data entry, and other administrative tasks as assigned.
Required:
- Basic computer proficiency, including Microsoft Word and Excel
- Ability to perform accurate data entry and maintain organized records
- Strong attention to detail and organizational skills
- Ability to communicate professionally, both verbally and in writing
- Ability to work independently, prioritize assigned tasks, and collaborate effectively with the team.
Preferred:
- Prior administrative, clerical, or office support experience
- Experience with filing systems and spreadsheet creation
- Customer service or phone-based experience
Knowledge, Skills and Abilities:
- Knowledge of basic office procedures and administrative practices
- Skill in data entry, recordkeeping, and file management
- Ability to create and maintain spreadsheets
- Ability to demonstrate professionalism and provide courteous and effective customer service to internal and external customers.
- Strong organizational and time management skills
- Ability to maintain confidentiality and handle sensitive information
- Ability to work effectively in a team environment
May be subject to drug and alcohol testing.
Work Hours:
- Monday through Thursday
- Core work hours fall between 9:00am to 3:00pm
- Actual daily schedule will vary within this timeframe
- Employment is contingent upon a favorable background check
- This is a seasonal, temporary position with no guarantee of continued employment
