The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.
The Administrative Coordinator II, under general supervision, provides comprehensive administrative and operational support for University College. Reporting to the Dean of University College, the Administrative Coordinator II coordinates administrative and academic business processes that support the College’s mission to provide quality degree programs and strengthen the first- and second-year experience through initiatives impacting retention, progression, and overall degree completion rates at Prairie View A&M University. The position exercises independent judgment in coordinating administrative operations, resolving routine operational matters, and applying established University policies and procedures. The position also supervises student workers and support staff.
Responsibilities:
Administrative Support
- Coordinates and leads administrative functions of the College, including monitoring office procedures and developing, evaluating, and ensuring adherence to established procedures.
- Coordinates day-to-day administrative operations, including answering phones, responding to emails, managing correspondence, and handling mail.
- Coordinates calendars, travel arrangements, itineraries, and expense reports for the Dean(s).
- Responds to general student inquiries and assesses inquiries to initiate appropriate referrals for escalating student concerns.
Budget Support
- Coordinates and facilitates business processes such as procurement, contracts, and human resource procedures in accordance with established University policies and procedures.
- Assists with budget and expense administration, including monthly procurement card allocations and related reports, and provides information to the appropriate supervisor(s).
- Performs routine budget preparation and analysis work. Prepares journal and budget entries. Collects, analyzes, and reports data. Provides advice and assistance concerning budget and funding procedures and methods.
- Assists in the monitoring, processing and tracking of budget related requests. Assists in reviewing, evaluating, and preparing requests for funds. Assist in the preparation of annual operating budget.
Project Support
- Coordinates assigned special projects and initiatives for the College, including monitoring activities and timelines, identifying issues, and coordinating appropriate follow-up.
Supervision
- Hires, trains, and supervises student workers and support staff.
- Assigns and coordinates work to support effective front desk and administrative operations.
Daily Operations
- Coordinates front desk operations and provides support, as needed, to ensure continuity of daily administrative services.
- Performs other duties as assigned.
Required Education and Experience:
- Bachelor's degree or equivalent combination of education and experience.
- Three years of related experience.
Required Knowledge, Skills and Abilities:
- Knowledge of word processing, spreadsheet, database, and presentation applications.
- Ability to multitask and work cooperatively with others.
- Interpersonal and communication skills.
- Planning and organization skills.
Preferred Qualifications:
- Four to seven years of related experience.
- Knowledge of student information systems.
- Ability to present information clearly and concisely.
- Ability to work with sensitive information and maintain confidentiality.
- Excellent written and oral communication, analytical, interpersonal, and organizational skills.
- Proficient knowledge of MS Office Suite (Word, Excel, PowerPoint) and database applications.
- Knowledge of Banner student information systems and other Banner advising applications.
- Ability to manage Zoom and MS Teams platforms for virtual meetings.
- Direct experience working with sensitive information and maintaining confidentiality.
- Familiarity with business platforms such as Emburse Expense, Workday, FAMIS.
Special Requirements:
- Applicants with equivalent experience in place of a Bachelor’s degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency of a Bachelor’s degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of seven years of experience.
