Finance / Office Manager

Objective:

Tolomatic is a US manufacturer of electric and pneumatic linear motion products. Our European operation in Rüsselsheim am Main is a small, close-knit team — which is why this role carries real breadth and ownership. You will keep our European business running commercially, financially and administratively, working directly with colleagues at our US headquarters.


Key Functions:

• Accounting & reporting — day-to-day bookkeeping, bank reconciliation and online banking; support for month-end and year-end closing; reports for our tax advisors and auditors; input to budgeting and forecasting.
• Receivables & payables — customer and vendor master data; invoice processing, payment schedules and payment-policy compliance; collections and dunning; credit and debit notes; dispute resolution.
• Order & sales administration — customer orders, quotations, order confirmations and invoices; customer communication on pricing and deliveries; product availability and purchasing with suppliers.
• Logistics & trade — import/export coordination with logistics providers; shipping, customs and trade documentation; goods receipt and delivery processes; inventory transaction review and cycle counting.
• Payroll & HR support — monthly payroll processing and posting; travel expense reports; support on HR and employee benefits topics.
• Compliance & administration — ISO 14001 environmental register; insurance matters; correspondence with public authorities and regulatory bodies.
• Office & corporate support — smooth running of the office, supplies and external service providers, basic IT/network upkeep; collaboration with Tolomatic corporate teams and support for special projects.

• Degree in accounting, finance or business administration — or an equivalent commercial qualification
• At least 3 years of relevant accounting experience
• Business fluent in German and English
• Strong Microsoft Office skills and solid experience with accounting, ERP and CRM systems; accurate with numbers and detail
• Able to work independently, set your own priorities and take initiative; discreet with confidential information; confident communicator with customers and colleagues
• Willing to travel internationally on an occasional basis, including to the United States
• Ability and willingness to work in a hybrid setting, combining on-site collaboration with remote work
• Preferred:
  • DATEV or comparable German bookkeeping/tax software
  • HGB reporting, experience in an international group
  • Exposure to customs processes
