Description
Performs a variety of clerical and administrative duties for the facility including purchase of general consumables as required to maintain a constant flow of materials and supplies to assigned areas within the plant.
Requirements
- Purchases materials, supplies, and inventory items for AST following established guidelines and procedures set forth by management.
- Orders all plant consumables and manages inventory levels.
- Provides internal customer assistance by checking on orders to determine if they have been received.
- Tracks back orders, arranges with vendors for delivery and notifies the department manager as to the expected delivery date.
- Researches vendors and suppliers to ascertain most cost efficient source of supplies.
- Completes purchase orders using designated software as required.
- Performs data entry of purchase orders on computer and log book as required.
- Maintains good housekeeping standards in assigned area.
- Performs other related duties as assigned.
- Performs all duties following established safety procedures and guidelines using assigned safety equipment.
- Assists maintenance with all work orders.
- Maintenance cost accounting.
- Make initial contact with various contractor’s as directed by plant engineer.
- Assists Human Resources with various safety monitoring and tracking. (Hazardous Waste Management, Annual Crane inspections and repairs, Dust Collector monitoring, Forklift repairs and inspections, Chain/Sling audits and inspections, MSDS, Chemical Inventories.)
- Coordinate small projects as directed by Plant Engineer.

JOB KNOWLEDGE:
Requires thorough knowledge of the company’s policies and procedures for purchased goods and services. Requires the ability to plan and coordinate the procurement of materials, parts, supplies and services in the most economical manner within specified time frames. Must be familiar with company products, terminology, part identification and numbering system. Must be familiar with flow of materials and scheduling. Requires the ability to operate specific computer functions, PC equipment and related software and hardware including but not limited to MS Office and AS400, as well as other basic office equipment including calculator, facsimile, copy machine and printer. Must be able to maintain specified records, files and logs.
EXPERIENCE:
Previous data entry experience/training is required. Three to six months in the job is necessary to become proficient in most phases of the job.
SCHOOLING OR EQUIVALENT:
Completion of high school with up to one year technical school or equivalent combination of education, related experience, or training would be necessary to learn the job.
CONTACT WITH OTHERS:
Interacts frequently with coworkers, plant personnel, vendors and management. Has phone contacts where the use of business etiquette, tact, and courtesy are required to maintain positive relations. The nature of contacts involves discussions, the exchange of information, and responding to questions.
CONFIDENTIAL DATA:
Has access to budgets, contracts with vendors, schedules and information which are considered confidential and not in the best interest of the company to disclose.
RESPONSIBILITY FOR ACCURACY:
Deals with exact figures and totals. Most errors would be detected during proofing or subsequent procedures. Undetected errors could result in production delays, improper inventories of supplies, overpayment and damage to customer relations.
MENTAL/VISUAL/PHYSICAL EFFORT:
Concentration varies depending on the task at hand. Close attention to detail is required during buying discussions, PC entries, purchase verification and scheduling. Employee must be able to handle multiple tasks simultaneously. This position is subject to frequent interruptions which require varied responses. While performing duties of this job, the employee is routinely required to be mobile, reach with hands and arms, talk and hear. Employee must have visual acuity.
RESOURCEFULNESS & INITIATIVE:
Responsibilities are performed within the scope of well defined purchasing policies and scheduling procedures. Makes decisions on purchase prices and deliveries. Initiative and judgment are required to maintain accuracy and complete tasks efficiently.
ENVIRONMENT:
Works in a normal office environment with intermittent contact with factory working conditions. Eye, ear and foot protection is required when in the plant.
