job description

Akelius is seeking an organized and detail-oriented construction administrator to support the local construction team. 

The construction administrator, US performs general functions and manages project logs for correspondence, submittals, and other project documentation.

The successful individual will be able to effectively multi-task, prioritize and meet deadlines in a fast-paced environment.

key responsibilities

 
  • provide support to the construction and architecture department
  • attend meetings as needed, take meeting minutes, and distribute accordingly
  • manage permit process and ensure all necessary documents are submitted to obtain permits
 
  • prepare all necessary documents for construction managers for site display
  • provide support on site as needed
  • manage onboarding process for internal and external training of the construction module
 
  • ensure new employees are trained and set up in the construction module
  • ensure contractors price list are up to date and active
  • assist with project closures
 
  • communicate with internal and external stakeholder and collect all relative documents
  • push through payment application and invoices to accounting
  • manage all project related administration
 
  • provide support with creating new job and budget management
  • provide support with purchase orders and change orders
  • manage payment applications and AIA contracts
 
  • monitor contract lifecycle
  • maintain timely correspondence for all contracts
  • audit construction inventory located at properties
 
  • manage all billing inquiries and ensure payments are made in a timely order
  • generate weekly/monthly payment run report for team and communicate recent and upcoming payments
  • manage local city project tracker report and gather information and communicate updates to all stakeholders
 
  • manage reports on project delays units due to procurement challenges, late deliveries, and damaged components
  • manage pre-qualification process for new vendors
  • assist with capital projects and RFI, RFPs as needed
  • provide updates to external vendors on payment status
 
  • manage vendor information, contracts and insurance are up to date
  • manage internal contractor lists, active and non-active contractors
 

who you are

  • Bachelor's degree in engineering, architecture, construction management or related field is preferred
  • three plus years of similar professional experience. Construction process experience preferred but not required
  • proficient with Microsoft Excel, Yardi, Procore or similar applications
