SUMMARY: This role is transversal across the CPX projects in participating programs in IE Business School.

RESPONSIBILITIES: The Program Coordinator is responsible for the end-to-end delivery of selected CPX events and initiatives to multiple student audiences, translating the vision set by the team into structured, high-quality execution, all with the goal of elevating the student experience.

We are looking for a person to join a full-time position in Madrid - María de Molina, 31. 

Responsibilities

Your role as Program Coordinator will involve:

 

The Program Coordinator is responsible for the end-to-end delivery of selected CPX events and initiatives to multiple student audiences, translating the vision set by the team into structured, high-quality execution, all with the goal of elevating the student experience. This role acts as the primary owner of event and selected short exchange program delivery, attending to student needs, coordinating stakeholders, managing timelines, and ensuring all components are aligned for successful implementation.

 

The Coordinator works most closely with the following teammates to align vision and objectives for each project:

 

Associate Director: key Dual Degree student events (typically 6 per academic year (AY), for 50-70 students per event) and incoming short exchanges (4 per AY, 30-50 students per exchange week)

Junior Manager: incoming exchange student Welcome Days (2 per AY, for 20-80 students per event)

Executive Director: student honors ceremonies (3 per AY for 100-200 students each) and community-building social events (4 per AY with capacities ranging from 50 students to 650 students)

The activities and projects on which the CPX Coordinator will work are as follows:

1. Event Delivery to Different Groups of Students (Front Office)

• Deliver to different student audiences key CPX events/initiatives that form part of the student journey
• Conduct post-event feedback and follow-up with students and propose improvements and innovation

2. Short Exchange Programs (Front Office)

• Coordinate and deliver 4 incoming academic short exchange (week-long) programs to a total of approximately 120-200 students
• Serve as coordination point with partner schools, faculty, and student participants
• Lead delivery and post-program evaluation

3. Additional Responsibilities (Front Office)

• First line of response to general student queries about Dual Degrees, international exchanges, and other CPX initiatives
• Guide students in specific Dual Degree processes, in conjunction with the Associate Director
• Maintain and update student guides and documentation

4. AI-First Process Innovation (Back Office benefitting Front Office)

• Propose practical, efficiency-driven improvements that will ultimately benefit the student experience
• Identify opportunities to streamline workflows using AI tools
• Use AI to support communications, documentation, and feedback analysis

Key Performance Indicators (KPIs)

• Event Delivery: On-time delivery (at least 95%), minimum student satisfaction score of 4,0/5,0
• Short Exchange Programs: 100% delivery success, minimum student satisfaction score of 4,0/5,0
• Coordination: Stakeholder alignment, low escalation rate, resulting positive qualitative student feedback
• AI Innovation: Measurable automation, time saved that can be dedicated to students, and adoption of innovation (estimated reallocation of time as a result of AI innovations: 10%+)

Qualifications

To thrive in this role, you should possess the following qualifications:

• Bachelor's Degree, Master's degree from a top university preferred.
• Fluency in English and Spanish required (frequent interactions with students, external providers, partner schools, and occasional presentations are required).
• High level of Office (especially Excel) proficiency required.
• Familiarity with different AI tools, including Copilot.
• Proficiency in project management.
• Minimum 3-5 years of work experience preferred, involving project coordination and client-/student-facing tasks; project management qualifications and experience are a plus.
• Candidates must possess a valid EU work permit.
