Role Overview
We are seeking a highly organized and proactive Assistant Manager – Finance & HR to take ownership of finance operations, HR administration, payroll management, and office operations within a growing technology organization. This is a hands-on role requiring a versatile professional who can effectively manage accounting, payroll, statutory compliance, employee administration, attendance management, and business support functions while contributing to the overall efficiency and growth of the organization. The successful candidate will work across multiple business functions and play a pivotal role in ensuring smooth day-to-day operations, accurate financial management, and effective employee lifecycle administration.
Key Responsibilities
Finance & Accounting Operations
- Maintain accurate financial records and manage day-to-day bookkeeping activities using QuickBooks.
- Manage accounts payable and accounts receivable functions, including invoicing, expense management, and reconciliations.
- Handle inter-company accounting activities, including reconciliations, allocations, supporting documentation, and transaction management.
- Perform monthly financial closing activities and bank reconciliations.
- Prepare regular financial reports and management reports.
- Support budgeting processes, cash flow management, and financial planning activities.
- Coordinate with auditors, external accountants, and financial service providers.
- Ensure compliance with applicable accounting standards and documentation requirements.
Payroll & Statutory Compliance
- Manage end-to-end payroll processing accurately and within required timelines.
- Calculate salaries, benefits, statutory deductions, and payroll adjustments.
- Prepare and process EPF, ETF, PAYE, and other statutory filings.
- Ensure timely payment of statutory obligations and regulatory compliance requirements.
- Review and improve payroll processes to enhance operational efficiency and accuracy.
- Support payroll audits and salary reconciliations.
HR Administration & Employee Lifecycle Management
- Maintain employee records, contracts, personnel files, and HR documentation.
- Manage employee attendance, leave records, and time-off administration across the organization.
- Coordinate employee onboarding and offboarding processes.
- Support recruitment coordination activities and employee documentation requirements.
- Maintain HR policies, employee registers, and compliance-related documentation.
- Respond to employee queries and support employee engagement initiatives.
- Ensure confidentiality and integrity of all employee information.
Vendor & Office Administration
- Manage vendor relationships, purchase orders, contracts, and administrative agreements.
- Coordinate office operations, supplies, facilities management, and administrative support activities.
- Liaise with banks, service providers, and external stakeholders when required.
- Support operational requirements to ensure a productive and efficient office environment.
Business Operations Support
- Provide operational support across multiple departments.
- Maintain organized filing systems, documentation repositories, and business records.
- Support management with reporting, coordination, planning, and operational initiatives.
- Assist with special projects and ad-hoc assignments that support organizational growth.
- Contribute to process improvement and operational efficiency initiatives.
Candidate Profile
- Bachelor's Degree in Accounting, Finance, Business Administration, Human Resource Management, or a related discipline.
- Professional qualifications or part qualifications such as CA, CIMA, ACCA, or similar will be an added advantage.
- 3–6 years of experience in Finance, Accounting, HR Administration, Operations, or a similar multi-functional role.
- Strong hands-on experience with QuickBooks is essential.
- Solid understanding of accounting principles, bookkeeping practices, and financial controls.
- Experience handling payroll processing and statutory compliance requirements.
- Knowledge of Sri Lankan statutory requirements including EPF, ETF, PAYE, and VAT.
- Exposure to inter-company accounting processes will be advantageous.
- Strong proficiency in Microsoft Excel and other productivity tools.
- Ability to manage HR administration, employee records, and attendance accurately.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask effectively across Finance, HR, and Operational functions.
- High levels of integrity, confidentiality, and accountability.
- Experience supporting multiple entities or working within a growing organization will be a strong advantage.
