Advanced Accounts Receivable Specialist
About the Role
USA Tools is seeking a highly detail‑oriented Accounts Receivable Specialist with strong analytical skills and a passion for accuracy. This role goes beyond basic payment posting - it focuses on auditing customer accounts, weekly route reconciliations, variance investigation, and ensuring financial integrity across our mobile distributor network.
The ideal candidate thrives in a fast-paced environment, understands the importance of clean financial data, and can work closely with sales reps to ensure every route, payment, and account is reconciled correctly.
Key Responsibilities
Accounts Receivable

Audit customer accounts weekly to ensure accuracy, completeness, and proper allocation of payments.

Perform weekly route reconciliations for mobile distributors, identifying variances, missing payments, duplicate postings, and unresolved balances.

Investigate discrepancies and work with sales reps to resolve issues quickly and professionally.

Maintain detailed records of customer accounts, including payments, credits, adjustments, and outstanding balances.

Accurately post customer payments (cash, credit card, Zelle, ACH, checks) and verify proper allocation.

Reconcile daily, weekly, and monthly deposits; escalate irregularities promptly.

Monitor aging reports and follow up on overdue accounts.

Respond to customer inquiries and resolve billing or payment discrepancies.

Prepare AR data for month-end and year-end closing processes.

Collaborate with sales, warehouse, and management to ensure smooth financial workflows.
Financial Accuracy & Reporting

Maintain strict accuracy standards for all AR entries and reconciliations.

Identify trends in account issues, recurring discrepancies, or route-specific concerns.

Support internal audits and compliance reviews.

Provide weekly AR summaries to management, including reconciliation status and outstanding variances.
Qualifications

Minimum 1–2 years Accounts Receivable experience required (auditing or reconciliation experience strongly preferred).

Strong proficiency in Excel (pivot tables, VLOOKUP, filters) and QuickBooks.

Excellent analytical and problem‑solving skills.

Strong verbal and written English communication skills.

High attention to detail and accuracy.

Ability to manage multiple priorities and meet weekly deadlines.

Experience working with sales teams or route-based operations is a plus.
