Reports to: Dental Director

Position Overview:
The Front Desk Coordinator will provide support with front desk duties and help orchestrate the daily flow of the dental clinic. They will work closely with assistants, providers, and other agency staff to ensure proper patient documentation. As the first point of contact, the Front Desk Coordinator should have good judgment, remain calm in times of crisis, and efficiently manage a busy waiting room.

Job Duties and Responsibilities:
  • Respond to patient questions or concerns according to agency and clinic policies
  • Manage sensitive patient information in accordance with HIPPA laws.
  • Ensure Ryan White and insured patients have active services prior to their appointment
  • Perform patient check-in and ensure information necessary for patients to receive services is complete and in compliance with clinic and regulatory policies
  • Perform patient check-out and schedule next appointment.
  • Answer multi-line phone system and reply or route accordingly
  • Assist clients, front office, and medical team as needed
  • Maintain a good working knowledge of Resource Center programs and contacts
  • Maintain notes of patient conversations in the electronic Telehealth record
  • Manage building maintenance requests
  • Participate in the upkeep of the Clinic
  • Establish clinic open/close procedures and enforce clinic entry/exit protocol
  • Assist with patient/client appointment communication, confirmation, and eligibility
  • Ability to deal calmly and effectively with people in stressful situations
  • Other duties as assigned
Job Requirements and Qualifications:
  • High School Diploma or Equivalent required
  • Bilingual Spanish required, including reading and writing
  • Experience in dental office preferred
  • Experience translating medical terminology
  • Ability to work effectively in eClinicalWorks
  • Proficient experience with Microsoft computer applications
  • Strong organizational, communication, and follow-up skills
  • Ability to work cooperatively and respectfully with diverse staff, patients, and volunteers
  • Ability to receive and apply constructive feedback
  • Experience in customer service, general office, or related fields preferred
