Summary of Job Duties:

The Student Conduct Records Analyst keeps the Office of Student Accountability's student conduct records accurate, secure, and easy to report on. This is an administrative support role with substantial student records and data analyst responsibilities. Primary responsibilities include front desk support, digital student recordkeeping, maintaining the office's student educational records database, and pulling reports from it.

This position enters and updates student conduct records and reviews them for accuracy and completeness. It serves as the office's primary contact for the Advocate records system, handling routine maintenance, user accounts and permissions, and system updates when policies or procedures change. The Analyst works with University IT and the software vendors so the system connects properly with other campus systems and captures all required information.

The Analyst builds and runs queries to answer questions about student conduct data. This includes preparing weekly reports for the Vice Chancellor for Student Affairs and supporting the Director and Senior Associate Director with bi-annual reporting and data requests from campus partners.

This position compiles and releases student conduct records in response to FERPA and FOIA requests, subpoenas, and Clery Act requirements, following state and federal law and University policy. The Analyst also maintains and retains educational records according to the office's retention schedule.

The Analyst serves as secondary support for the front desk, backing up the Office Manager during high-traffic periods and when they are out of the office. The Analyst greets and assists students and visitors, answers phones, and responds to office email. This position works closely with the Office Manager throughout the year, cross-trains on administrative duties to provide coverage as needed, and assists with scheduling and coordination for office staff. The Analyst also handles routine communication with campus and community partners on behalf of the office.

Regular, reliable, and non-disruptive attendance is an essential function of this position, as is the ability to build and maintain positive working relationships with colleagues, students, and campus partners.


Qualifications:


Minimum Qualifications

  • The formal education equivalent of an associate's degree in business administration, public administration, information systems, education, or a related field from an accredited institution of higher education

  • At least three years of experience in records management, data entry and reporting, office administration, or a related area

Additional relevant experience may be substituted for the education requirement on a year-for-year basis

Preferred Qualifications

  • Bachelor's or master's degree in higher education, student affairs, public administration, or a related field from an accredited institution of higher education

  • Experience working in a college or university setting and working directly with college students

  • Experience managing and maintaining student educational records or other confidential records

  • Experience with a student conduct case management system such as Advocate, Maxient, or Symplicity

  • Experience building queries and generating reports from a database or records system

  • Familiarity with federal, state, and local laws pertaining to student educational records and the student conduct process, including FERPA, FOIA, and the Clery Act

  • Experience using the University of Arkansas Workday system in a non-student role


Knowledge, Skills & Abilities

  • Knowledge of the organization and administration of various higher education academic and student programs and services

  • Knowledge of campus and community resources

  • Knowledge of computers and software applications such as Microsoft Office, Adobe Suite, etc.

  • Ability to compile information into report form

  • Ability to prepare, present, and review oral and written information and reports

  • Ability to research and analyze related work program information

  • Ability to plan, organize, and direct the work of others

  • Ability to provide exemplary customer service skills

  • Demonstrated ability to plan, organize, and prioritize strategies and tasks in an independent way

$39,930 (Commensurate with education and experience)
