Role Description:
Reporting to the Regional Director, Lease Documentation (Office and Industrial East), the Lease Documentation Coordinator is responsible for the following:
Responsibilities:
- Prepare executive summaries for new leases, extensions, amendments and offers in a timely and efficient manner.
- Prepare and circulate documentation packages for Leasing and Investment Management approval and execution.
- Distribute fully-executed documentation (both externally and internally) and post documentation to the SharePoint Property Portal.
- Process and track lease documentation fee invoicing.
- Track lease documentation and follow-up with appropriate parties using prescribed tracking methods.
- Run credit checks, title searches and corporate searches.
- Provide administrative support to the Lease Documentation department.
- Update and maintain documentation in SharePoint Property Portal and collaborate with data governance in streamlining processes and efficiencies.
- Assist in the development of standardized lease policies, procedures and documents.
- Effective and timely delivery of lease documentation services through liaison with internal and external stakeholders.
- Draft miscellaneous legal correspondence, as required.
- Other related duties, as required.
Experience and Qualifications:
- 2-5 years’ administrative experience, preferably with knowledge in the areas of real estate, leasing and/or contract law.
- Post secondary education and experience in the real estate industry is preferred.
- Excellent organizational, planning, time management and proof-reading skills.
- Ability to deliver detailed, accurate and quality results under pressure and within tight deadlines.
- Ability to work well individually and as part of a team and maintain cooperative working relationships both internally and externally.
- Ability to adapt to systems change, with an interest in problem solving and tech integration.
- Advanced skills in Microsoft Word and Excel; familiarity with Microsoft Office 365 suite (OneDrive, SharePoint, Teams) is an asset.
- Experience with Yardi and Deal Manager is an asset.

The expected annualized base salary range for this role is $65,000-$85,000.
Based on the position, QuadReal offers a competitive total rewards package in addition to the base pay, which may include a performance-based incentive plan, comprehensive health & dental benefits, pension plan, and paid time off.
