Salary: circa £35,000 depending on experience 
Location: Birmingham (City Centre)
WFH policy: Employees are required to attend the office 2 days/week
Flexible working: Variety of flexible work patterns subject to line manager discretion e.g. Compressed 9-day fortnight.

Role Summary:

The People Team Coordinator will provide practical administrative and coordination support across People Operations and Talent Acquisition, helping to improve the efficiency, consistency and quality of key people processes. 
 
The role will support Talent Acquisition Partners and People Operations, with a particular focus on recruitment administration, onboarding activity and providing support to core lifecycle people processes. This includes responding to employee and line manager queries and requests, supporting offer letter administration, new starter documentation, system set-up requests, maintaining accurate records and supporting routine reporting of key recruitment and onboarding metrics. 


Key Responsibilities

  • Coordinate interview scheduling between hiring managers, candidates and Talent Acquisition colleagues, ensuring timely communication and a positive candidate and hiring manager experience. 
  • Provide administrative support across the recruitment lifecycle, helping vacancies progress efficiently through each stage of the process. 
  • Support offer approval administration and prepare and issue offers where required, ensuring all information is complete, accurate and progressed within agreed timescales. 
  • Administer assessments for relevant roles, including coordinating assessment requirements, candidate communications and timely follow-up. 
  • Support onboarding activity for new starters, including offer letter administration, pre-employment documentation, system set-up requests and joining instructions. 
  • Work closely with the People Operations Associate to ensure new starter administration is completed accurately, consistently and within agreed timescales. 
  • Maintain accurate records across relevant people systems, trackers and documentation, ensuring information is up to date and handled confidentially. 
  • Provide flexible administrative support across the People Team, responding to agreed priorities across People Operations, Talent Acquisition and onboarding. 
  • Support simple improvements to day-to-day administration by highlighting recurring queries, delays or manual steps to the relevant People Team colleague. 
  • Support recruitment and onboarding administration processes by following agreed ways of working and contributing practical feedback from day-to-day delivery. 
  • Prepare and issue standard correspondence, meeting invites and process updates using agreed templates, ensuring communications are clear, accurate and professional. 
  • Coordinate pre-employment checks, starter forms and internal notifications, ensuring each activity is completed accurately and handed over to the appropriate colleague within agreed timescales. 
  • Support routine recruitment and onboarding reporting by keeping trackers up to date and providing accurate information for key metrics. 
  • Liaise with hiring managers, candidates, new starters and internal colleagues in a helpful and responsive way, escalating issues where required. 
  • Handle personal and confidential information appropriately, in line with data protection requirements and internal People Team standards. 


Skills Knowledge and Expertise

Essential 
  • Experience providing administrative or coordination support within a People Team, Talent Acquisition Team or HR Operations environment. 
  • Excellent attention to detail, with the ability to maintain accurate records and check information carefully. 
  • Experience coordinating diaries, meetings, interviews or multi-stakeholder processes. 
  • Experience preparing or administering standard documentation, correspondence or process records. 
  • Confident using Microsoft Office applications, particularly Outlook, Word, Excel and Teams. 
  • Ability to manage confidential information appropriately and work in line with agreed policies and data protection requirements. 
  • Strong organisational skills, accuracy, attention to detail, and a customer-focused approach. 
Desirable 
  • Experience using an applicant tracking system, HR information system or onboarding platform. 
  • Understanding of recruitment administration, offer approvals, pre-employment checks or new starter processes. 
  • An interest in process improvement and creating simple, sustainable ways of working.
