Beloit Health System is looking to add a Radiology Service Representative to our Team!

  • Shift: 1st
  • Schedule: 7:30 am -5:30 pm
  • Hours per week: 24 or 32
  • Benefits Status: Eligible

Beloit Health System is seeking a detail-oriented and customer-focused Radiology Service Representative to join our Imaging Services team. The Radiology Service Representative serves as the primary point of contact for patients, providers, and staff, ensuring efficient scheduling, registration, communication, and coordination of imaging services.

  • Schedule radiology and imaging appointments in accordance with physician orders and department protocols.
  • Register patients and verify demographic, insurance, and billing information.
  • Confirm appointment details and provide preparation instructions for imaging procedures.
  • Coordinate scheduling changes, cancellations, and rescheduling requests.
  • Obtain and verify required authorizations and referrals when applicable
  • Serve as the first point of contact for patients, families, physicians, and clinical staff.
  • Greet patients and visitors in a professional, friendly, and compassionate manner.
  • Respond to questions regarding imaging procedures, scheduling, and departmental processes.
  • Address concerns and escalate issues to appropriate leadership when necessary.
  • Maintain a positive patient experience by ensuring timely communication and service.
  • Manage incoming calls, electronic messages, and departmental correspondence.
  • Accurately enter and update patient information within the Electronic Medical Record (EMR) system.
  • Assist with medical records requests, image distribution, and departmental documentation.
  • Collaborate with radiologists, technologists, nurses, physicians, and other hospital departments to facilitate patient care.
  • Ensure imaging orders are complete and meet scheduling requirements.
  • Support compliance with hospital policies, HIPAA regulations, and accreditation standards.
  • Verifies prior authorization before scheduling any advanced medical imaging exams.
  • Participates in opening and closing responsibilities and works Saturdays as needed on a rotational basis.
  • Completes and helps with record transfer requests accurately and/or coordinates record transfer personnel with patients as necessary..
  • Importing CD's and modifying demographic information to match RIS
  • Scans documents into PACS

JOB REQUIREMENTS

  • High school graduate or equivalent required
  • Basic computer skills including keyboarding
  • Excellent organizational, verbal communication, and interpersonal relation skills to be utilized with coworkers, patients, and the public Ability to prioritize and multitask work
  • Ability to work in a fast-paced environment while keeping information private and confidential
  • Ability to learn various prep information and exam compatibility.
  • Reporting Relationship: Medical Imaging PACS Analyst, Medical Imaging Clinical Manager and Department Director
