Staffstream is hiring an Owners Corporation Administrator for a long-established, independently owned Australian real estate agency working across residential and commercial sales, leasing, property management, and owners corporation (strata) management. Their owners corporation division is a growing part of the business: well run, deliberately hands-on, and small enough that every person in it genuinely matters.

You'd support the Owners Corporation Managers with the day-to-day running of their portfolio, taking the administrative load off them so they can focus on advising committees and owners. You'll become the person who keeps records, notices, correspondence, and meeting documentation accurate and on time. No prior property or strata experience is needed here: the systems are specialist and full training is provided. What matters far more is that you're organized, careful with detail, comfortable juggling several things at once, and genuinely willing to learn. This business invests in its people and is looking for someone who wants to build a career here, not pass through. This role is open to candidates based in the Philippines.

 

What you will actually do

Portfolio administration

  • Process invoices accurately and on time.
  • Prepare and issue levy notices, reminder notices, final notices, and general owners corporation correspondence.
  • Maintain accurate records, registers, and documentation across the portfolio.
  • Keep files, data, and documentation organized so information is easy to find and always current.

Meeting support

  • Assist with the administration of Annual General Meetings, Committee Meetings, and General Meetings.
  • Prepare and distribute meeting documentation.
  • Support the Owners Corporation Managers before, during, and after meetings so nothing gets missed.

Repairs and maintenance coordination

  • Obtain quotations for repairs and maintenance works.
  • Liaise with contractors and coordinate scheduling.
  • Follow up on works in progress through to completion, and keep records updated throughout.

Stakeholder communication

  • Respond to enquiries from lot owners, tenants, committee members, and contractors.
  • Communicate clearly and professionally, both in writing and over the phone.
  • Keep the Owners Corporation Managers informed of anything that needs their attention.
 

What you need to bring

  • Strong administration and organizational skills, with a proven ability to manage multiple tasks and competing deadlines at once.
  • Excellent attention to detail and accuracy in written work, records, and data entry.
  • Confidence using Microsoft Office, particularly Outlook, Word, and Excel.
  • Clear, professional written and verbal English communication.
  • A genuine willingness to learn new systems and take on unfamiliar work.
  • Reliability and consistency, with a real track record of staying in roles and seeing things through rather than moving on quickly.
 

Nice to have

  • Exposure to property, real estate, strata, or owners corporation administration. This isn't required, and candidates from other administrative backgrounds are genuinely encouraged to apply.
  • Experience coordinating trades, contractors, or service providers.
  • Experience working with Australian businesses or clients.
